To Supervise the day to day running of the Prep or Records Services team and to have responsibility for the delivery of all aspects of the service, expected by the Prep/Records Services Team.

Supervising a team of Records Services Prep Officers, they will ensure that all aspects of the process are maximised to deliver a high quality and highly productive service, they will be an advocate of quality and will promote a culture of excellence, implementing quality assurance procedures, moderating management auditing and manage the Prep/Records Services.

Prerequisites for success in this role are the ability to manage a mixed skilled workforce in a positive way, having a strong attention to detail and the ability to promote and develop a performance and quality culture.

- Staff Recruitment and selection
- Staff training, inductions, appraisals, objective setting, performance management, and 121s
- Monitoring attendance levels and timekeeping, through holidays, sickness or unauthorised absence including return to work interviews
- Monitor, report and communicate staff performance levels through regular audits
- Identification of training needs, ensuring that suitable training is developed and delivered both to own direct reports and the wider team to ensure there is no impact on the quality and productivity of the Service.
- Ensuring the team is resourced to support needs of the service.
- Achievement of Service levels, contractual obligations and Departmental and Trust objectives.
- Management of contingent workers including production of time sheets.
- Delivering management information regarding the performance of individuals, teams, projects, departments; ensuring accuracy of data, attention to detail and providing commentary on trends, variances and observations.
- Ensuring Quality Assurance throughout the Service Delivery process.
- Continually review working practices, identify areas which are problematic and take corrective action as necessary.
- To ensure post holder and the Prep/Records Services Team maintain confidentiality at all times.
- To be responsible to ensure all aspects of clinic prep/records services/scanning processes are actioned in a timely and courteous manner by the team in accordance with Service Level agreements.
- To ensure all systems and equipment are all used correctly and effectively in line with standard operating procedures and Policies.
- To identify and implement as directed by the Management Team, changes that could improve the quality of the service, increasing efficiency and cost effectiveness.
- Moderating audits.
- nvestigate and propose new initiatives including processes, equipment and technology
- Be a key member of the management team, offering support and challenge where required.
- Responsible for Health and Safety, to ensure the working environments are tidy at all times, promoting good practice and identifying Health and Safety risks including manual handling and taking immediate action to address any issues.
- To ensure staff maintain keep clean and keep in good working order all equipment and environments.
- Undertake training as required.
- To plan and deliver, as directed by the department Managers, the records management policy and be fully compliant with the retention and destruction policy.
- To act as a point of contact in the absence of other members of the wider Management team.
- To ensure that Calderdale and Huddersfield NHS Foundation Trust policies and other regulations are applied as appropriate.
