JOB TITLE **Administration Team Leader**
IMMEDIATE MANAGER **Head Of Retail Pricing, Systems & Communications**
**JOB PURPOSE**
- Deal with all pricing, product, and system enquiries in a polite effective manner.
- Provide effective and consistent retail support to our business partners.
- Create Weekly Bulletins
- Manage POS ordering System and reporting.
- Support the Head of Retail Pricing, Systems & Communications in delivering the Company’s objectives.
- Deputies for the Head of Retail Pricing, Systems & Communication in their absence.
- The Retail Administrator Team Lead is also responsible for organising and coordinating office operations and procedures to ensure organisational effectiveness and efficiency. This role has sole responsibility for maintaining and developing all aspects of administration related to the regional operations teams.
- The Retail Administrator Team Lead will have 4 Retail Administrators reporting into them to ensure all jobs are completed to a high standard and in a timely manner.
**MAIN ACCOUNTABILITIES**
- Managing the Retail scanning helpdesk, responding and answering pricing, product and system enquiries from store managers in an effective and timely manner.
- Maintaining the Group pricing database to ensure that price changes and new product lines are implemented in a timely and accurate manner.
- Providing timely and accurate query resolution to minimise product of sale times.
- Working effectively with key stakeholders in and outside of the organisation.
- Creating Weekly Bulletins
- Manage POS ordering system and reports.
- Administrates the text local service that is utilised to communicate messages to the Contract Managers and subsequent management of the databases.
- The Retail Administrator Team Lead may be required to prepare spread sheets, reports and bulletins in order to maintain databases and assist in general office operations.
- The Retail Administrator Team Lead is responsible for the maintenance and filing of site licenses. They will also maintain up to date site address lists coordinating any changes with website updates.
- Coordinate MFG’s CM Credit Check / Border Agency and VAT Checks.
- ADT checking and maintenance, in addition to managing reporting and KPI issuance.
- Maintain Company Station element of MFG’s website.
- Transfer and dispose of records according to retention schedules and policies, whilst ensuring GDPR elements of Operations processes are followed.
- With the other administrators, the Retail Administrator is responsible for the prompt answering/actioning of telephone calls and meeting and greeting Company visitors.
- Assist in keeping the office tidy i.e.: dishwasher, fridge etc.
- Assist in collecting, opening, distributing & sending mail as necessary.
- The Retail Administrator Team Lead will cover the other Company Administrator’s responsibilities in time of absence or peak workloads.

This is an office-based position, however from time to time the role will involve travel.
**WORK CONTEXT**
**Operating Environment**
- St Albans Office Based
- Close liaison and working with retail operations/Contract Managers and the trading team.

- Ensure working within defined DDA and MFG working practices and policies.
- **Organisation**:
- Working with IT provider and Wholesaler to deliver price and range strategy.
- Advise and drive compliance and monitoring of range and price implementation through contractor support.
**COMPLEXITY**
- To operate effectively and efficiently and achieve given objectives within given time deadlines.
- To have positive productive working relationships with all relevant Executives, Directors and Third-Party suppliers/contractors, Regional and Area Retail Managers.
- Desire for continuous improvement.
**KNOWLEDGE & SKILLS REQUIRED**
- Experience of working in the retail sector, preferably also the forecourt sector although not essential.
- Confident in using Excel, including using basic formulas, pivot tables and V Look Ups & manipulate high volumes of data.
- Self-Motivated and can work independently to plan, organise & prioritise workload.
- A good communicator with all audiences and levels.
- High level of accuracy / excellent attention to detail.
Pay: Up to £32,000.00 per year
