**JOB DESCRIPTION**
**JOB TITLE: Temporary Work Experience Administrator**
**REPORTS TO: Senior Admin Co-ordinator**
**DEPARTMENT: Administration/Organisational Support**
**SECTION: Secondary School**
**PURPOSE OF JOB**
Under the guidance of the Careers Leader and Work Experience Co-ordinator the Work Experience Administrator will assist with the delivery of Work Experience and Careers within the school. Assisting with the planning, development, monitoring and execution of the programme to support the school’s commitment to meet or exceed the Gatsby Benchmarks.
**PRINCIPAL ACCOUNTABILITIES**
**Organisation**
- Assisting with the planning, development, design, organisation and monitoring of the Work Experience and Careers Programmes.
- Undertake duties to support Work Experience, including telephone enquiries, redirect calls, pass on messages to others as required and deal with face-to-face enquiries with colleagues, students and visitors.
- Conduct work experience placements prior to the commencement of placements to review placement risk assessments. (Local Authority training will be given.) Own transport required.
- Provide administrative assistance to the Senior Leadership Team as required.
- Assist with arrangements for school events/trips.
- Keep operating procedures under review to identify areas of potential development and / or improvement and make recommendations
**Administration**
- Undertake general administration as directed by the Work Experience Co-ordinator.
- Maintain manual and computerised records / management of information systems.
- Produce lists / information / data as required, e.g. student data.
- Oversee a range of IT based tasks under the instruction of the Work Experience Co-ordinator. Generating routine correspondence as required.
- Ensure that all administrative activities are carried out in accordance with school policy and procedures
- Undertake administrative procedures
- Undertake routine administration involving helping with the completion and submission of relevant information to SLT, the Governing Body under the guidance of the Work Experience Co-ordinator.
**Resources**
- Assist with the marketing and promotion of Work Experience for the school
- Ensuring that all necessary checks have been made and all required certificates have been received before approving work placements, as outlined in the Brighton & Hove CC Work Experience Toolkit.
- Operate relevant equipment/ICT packages (e.g. word, excel, databases, spreadsheets, SIM’s, Internet)
- Provide general advice and guidance to staff, students and visitors
- Undertake general administration in accordance with procedures.
**Support for the School**
- Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person
- Be aware of and support difference and ensure students have equal access to opportunities to learn and develop
- Contribute to the overall ethos / work / aims of the school
- Appreciate and support the role of other professionals
- Participate in training and other learning activities and performance development as required
- Responsible for Health & Safety management in own area
- Attend and participate in relevant meetings as required
