Facilities Advisor

**Job Summary**

Working with the wider Facilities team to sustain maintenance, cleaners and assist in all Health and Safety, environmental, company procedures and related general legislation. This includes ensuring the adherence to the Facilities budget. Good written and verbal communication essential, as the role will involve working with the various teams located at the various sites so travel to these will be an essential part of the role. Will include providing facilities support to the teams based at each office.

**Main Responsibilities**
- To ensure the fabric of the buildings both externally and internally is maintained and serviced to a high standard in accordance with the management contracts and agreed budgets liaising with the Facilities Team Lead;
- Respond to any health and safety issues raised to aid in maintaining compliance, including that of third-party services providers and their maintenance records;
- To oversee third party contractors at sites to ensure the correct standard of service is provided in accordance with the agreed contracts;
- To compile and maintain all required management information/records relating to company, health and safety and other related records for the location. This includes asset register, emergency plans and all related records and management reports;
- To manage minor work programmes at sites, acting in support as the liaison point for all parties involved;
- To monitor FM works at sites and liaise with service providers/sub-contractors and the Facilities Team Lead;
- Support in the provision of contact between maintenance contractors and onsite teams to co-ordinate the seamless booking of maintenance works and booking through approved portals/methods, record bookings in through the Facilities Manage desk portal;
- Site point of contact between Citation and onsite teams to co-ordinate the seamless booking of H&S associated visits.
- Maintaining the Atlas Citation System to ensure that the records are up-to-date for all sites and uploaded in a timely manner to provide a live system for viewing health & safety records, training and compliance certification
- Creating and deactivation of access control passes for sites to ensure security is maintained with new starters, leavers and contractors;
- Point of contact between Facilities Team Lead and Cleaning Contractor to ensure the provision of our cleaning requirements runs smoothly and efficiently at the various office locations;
- Support where required in the setting up and clearing down of meeting rooms for large events;
- Ensuring locations and the staff keep the sites clean and clear of rubbish and reporting any deficiencies to the wider Facilities Team.
