**What you'll be doing**
You will have the following accountabilities:

- Devise and maintain efficient office and project administration processes to ensure a smooth and efficient service is delivered to team members
- Undertake multi diary management and plan schedules in diaries to optimise the working day of senior managers in the Signalling business
- Book UK and overseas travel and accommodation
- Maintain accurate and secure paper based/electronic filing systems, including archiving
- Maintain full confidentiality of sensitive and confidential business issues
- Run ad hoc reports and undertake data analysis
- General Admin duties - Minutes of meetings/typing/photocopying/scanning
- Kronos timesheet entry and managing code and entry queries
- Book conference rooms - internally and externally for the team meetings
- Manage the Signalling Technical Competence database - locate and collate data, records and other information as required for all safety critical staff
- Project Admin duties - implement and maintain a document control system for signalling projects aligning with mandatory standards and requirements and ensuring all information exchangeable, useable and available to relevant people

**Who we're looking for**
You will have the following:

- Expert user of Microsoft, PowerPoint, Word and Excel
- Has previous experience of working as a Team Organiser, Document Controller or Technical Clerk
- Highly organised and able to work on own initiative with limited supervision
- Discreet and confidential and able to handle issues with great sensitivity
- Ability to engage and build effective relationships
- Strong communication and influencing skills
- Demonstrable ability to prioritise and manage conflicting priorities during busy periods
- Is able to demonstrate a logical, proactive approach
- Possesses a high degree of attention to detail
