To provide a courteous, responsive and effective point of contact (in person and by telephone) for patients, carers and healthcare professionals, both internal and external to the Trust. To keep the ward diary up to date. To liaise with theatres to ensure smooth running of the theatre lists Patients and Relatives Promote a customer focused approach to receive patients and visitors to the ward. Distribute post to patients on the ward.

Advise relatives of the services available to them on the ward Support patient and relatives to speak to watch other using the wards cordless phone To update patients next of kin details in the notes and on the computer systems when required. Patient Administration System (PAS) To record/update admission, discharge/transfer of patient data into the PAS system, to include predicted dates of discharge (PDDs). To admit patients onto Theatreman. To ensure that patient and GP details are correct on PAS.

To ensure daily that patents are listed under the correct consultant. To ensure day attenders are accurately recorded on PAS. To provide information as and when required from the PAS system. Administration / Clerical Services To photocopy documentation and ensure that stationery is well stocked at all times.

Communicate and document information accordingly. Maintain existing systems as necessary to a professional and consistent standard. Liaise with the Cash Office and organise response to donations to ward. Ensure accolades are recorded and that the figures are forwarded to the Matron To liaise with the Bereavement Office as and when required.

To undertake any other clerical task as agreed mutually with the Ward Manager to ensure that the administrative systems meet the needs of the ward. Staff Development and Support To train and develop new ward clerks and support staff sharing good practice where possible. To attend mandatory training. Annual appraisal to identify personal development needs.

To ensure a continuous supply of patient labels for the medical and nursing notes. To ensure next of kin details and GP details are recorded and correct in all nursing admission booklets. To ensure patients disclaimers are complete. Patient Discharge and Follow Up To arrange transport when required and to utilise the Departure Lounge as appropriate, clearly communicating with the nursing staff.

To make outpatient appointments as appropriate prior to discharge in conjunction with the patient. Liaison with Multi-Disciplinary Team To maintain an up to date ward bed state, and liaise with duty manager as appropriate. To book and arrange interpreters as required. Attend Meetings To attend meetings such as the Ward Clerks meetings.

Provide feedback to colleagues and input relevant issues relating to the ward clerk role within the working area
