**Rehab office is based at Ecclesfield, Sheffield S35 9ZX**

Primarily, you will provide administration support within the **Pain Service **Rehabilitation Team.

Excellent organisational skills are essential for this role, along with the ability to work un-supervised using your own initiative. You will need to be able to develop strong working relationships with colleagues at all levels and communicate well with customers, patients and members of the public. A pro-active, flexible and professional approach to your work is vital.

You will be confident, enthusiastic and deeply committed to providing a high-quality service to Rehab Direct (RD) but also to our clients. You will also be responsible for working with your team to ensure that all processes within RD are being correctly understood and implemented.

You will support the clinical team to deliver a first-class administration function for the Rehab Direct Pain Service team.

**MAIN DUTIES TO INCLUDE**:

- Answer, screen and transfer inbound phone calls for Pain Service Team.
- Review annual leave requests and approve/decline as to the service requirement.
- Ensure that all clinical diaries are up to date with approved leave.
- Contact patients who have not attended an appointment and arrange for the appointment to be rebooked at a convenient time.
- Arrange (and note take) staff reviews, probation meetings and appraisals.
- Maintain and update in-house office rota to ensure senior teams have visibility of where staff members are each day ie at home, in office, on leave.
- Print and post patient exercise sheets as required.
- Ensure that all new starters have equipment required for induction to include laptop, access to diaries, SMART card.
- Provide administrative support to Team Leaders and senior pain team staff as required.

**AD HOC DUTIES**:

- Provide administration support for the Private Insurance team to include:

- Enter client’s records onto internal systems and creating client files when new instructions received.
- Request/chase medical records/GP records as required.
- Arrange and follow up on appointments with clients, clinics and patients.
- Proof-read letters, reports etc. providing quality assurance for external communications.
- Carry out general clerical duties to include filing, typing, photocopying and scanning.
