To act as a first point of contact for patients and to represent the practice in a polite, professional, and caring manner. To be responsible for the day-to-day administrative duties of General Practice as defined, but not restricted, to those set out below. General: Communicate effectively with staff to know what tasks you are assigned to and what are the current priorities. Communication: recognize the importance of effective communication within the team: communicate effectively with colleagues, patients, and carers.

Recognize peoples needs for alternative methods of communication and respond accordingly Ensure that you can effectively carry out any individual task that you are given responsibility for, and have been trained to do, according to protocol (see Tasks section) Team working as part of PST team. Be considerate to the needs and wants of the team to provide and efficient service to the practice and to patients. TASKS To provide a professional service to patients. To be calm, friendly and polite at all times.

To make, change and alter appointments, working within the boundaries of the appointments protocols. To signpost requests for appointments to the appropriate service after appropriate discussion with the patient and according to protocol. To always offer patients choice and a constructive solution wherever possible To be familiar with the Practice Boundary and to register patients appropriately. To offer new patients information about the practice and its services both verbally and using printed materials and to be familiar with their content.

To prepare repeat prescriptions working within the practice protocols. To be familiar with the principles of confidentiality, Caldicott, Governance and data protection and always be mindful of these during face to face and telephone encounters with patients/doctors and other staff. To have a clear telephone manner remaining calm and helpful at all times. To be aware of all policies relating to diversity and to represent the practice in a positive and professional manner.

COMPUTER & PHONE SYSTEMS Fully understand the telephone system and its functions to ensure effective answer and transferring of calls. To effectively open and close the system. To be familiar with the clinical computer system to be able to carry out your duties fully understand opening and closing of the system, managing minor system faults and failures, understand the impact of faults and failures and the necessity to report them. To use and guard your smartcard according to practice protocol.

Policies, be aware of all SGP policies and follow them at all times, including but not limited to: The practice philosophy The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the practice health & safety policy and procedures, infection control policy and other relevant policies. To ensure that the building security is not breached during opening hours and that protocols are followed during the opening and closing of the surgery. To follow guidelines to protect personal health & safety. To accept responsibility for duties under Fire and Panic Alarm Drills.

Confidentiality a clear understanding and strict adherence to the practice confidentiality policy Demonstrate due regard for safeguarding and promoting the welfare of children Supporting the equality, diversity and rights of patients, carers and colleagues Other Effectively manage own time, workload and resources To provide cover for absent colleagues and work flexibly according to practice needs. Any other duties requested by Team Leaders, Practice Manager or Partners.
