**About you**

**You must have proven experience of**:

- At least 2 years’ professional experience encompassing music event organisation and/or management, tour management, artist liaison, music booking or promotions.

**Skills and knowledge**:

- A strong working knowledge of the live music industry and a good understanding of contemporary music genres;
- Strong administrative skills;
- A working knowledge of diary management and room booking systems;
- Good numeracy skills and competence with complex figures;
- Excellent verbal and written communication skills;
- Effective problem solving skills;
- Ability to work to deadlines and within budgets;
- Good organisational skills and ability to manage own workload;
- Able to remain calm and clear thinking under pressure;
- Ability to multi-task;
- High level of IT skills - including Microsoft Outlook, Word, Excel and Access

**It also helps if you have**:

- Experience of using Artifax, Tessitura and Exchequer software systems;

**About the role of Contemporary Music Programme Coordinator at Sage Gateshead**

The purpose of this role is to work with the Contemporary Music programme team in the planning, coordination, and day to day operations of Sage Gateshead’s Contemporary Music performance programme. The Coordinator will contribute to programme planning, coordinate and run individual shows.

They will also support the Contemporary Programme Manager, Head of Contemporary Music and the Contemporary Music Senior Producer.

The Contemporary Music Coordinator will make sure all Contemporary Music events run smoothly at Sage Gateshead from point of contract to completion, providing efficient operations and onsite artist liaison.

**Your responsibilities**:
**Logistics / Planning**
- Maintain a high level of artist and client care through the development of good working relationship with clients, promoters and other individuals including artist managers, agents, promoter’s reps and producers, regionally, nationally and internationally;
- Work with the Contemporary Music team to advance the production of the Contemporary Music programme accurately and efficiently;
- Collate, book, review and update all relevant resources, spaces and requirements in Sage Gateshead’s central systems (e.g. Artifax).

**Admin**
- Make sure all production information, regulatory requirements and all health and safety documents are submitted and approved for each event and share information with relevant staff;
- Maintain all admin for the Contemporary Music programme and make sure copies of all contracts are signed, returned and filed.

**Finance**
- Make sure that all Contemporary Music shows stay within budget and maintain all financial records;
- Work with Sage Gateshead’s finance department to make sure all payments set out in artist contracts are processed on time;
- Be responsible for petty cash and sending relevant documentation to the finance department;
- Liaise with Sage Gateshead’s Ticket Office to reconcile box office reports;
- Prepare and process all financial settlement information, invoices and any additional payments (e.g. additional non-technical staffing, hotel costs);
- Process monthly credit card coding and reconciliation.

**Events**
- Work closely with Sage Gateshead colleagues to make sure the Contemporary Music programme runs smoothly;
- Coordinate all show days, complete all necessary tasks (e.g. preparing dressing rooms, travel booking);
- Book, brief and task-manage additional staff (e.g. runners, artist liaison);
- Act as ‘on the day’ Event Manager for Contemporary music events and be a centr
