**What will the apprentice be doing?**

This apprenticeship provides a valuable opportunity to develop essential skills in customer service, administrative tasks, and healthcare coordination. Under the guidance of experienced NHS receptionists, you will gain practical experience and contribute to the efficient running of the healthcare facility.

Key responsibilities:

- Welcome patients, visitors, and staff in a courteous, professional, and compassionate manner, creating a positive and welcoming environment
- Manage incoming calls, inquiries, and appointment bookings, ensuring accurate and timely communication
- Schedule patient appointments, consultations, and follow-up visits, coordinating with medical staff and other departments as necessary
- Maintain electronic, ensuring confidentiality and compliance with data protection regulations
- Collect patient information, such as personal details and medical history, accurately and with attention to detail
- Provide administrative support, including photocopying, scanning, filing, and data entry
- Liaise with healthcare professionals, ensuring effective communication and coordination of patient care
- Assist patients with completing necessary forms, questionnaires, and consent documents
- Process and distribute incoming and outgoing mail, ensuring accuracy and promptness
- Monitor and manage the reception area, ensuring cleanliness, organization, and appropriate signage
- Handle general inquiries and provide information about healthcare services, policies, and procedures
- Collaborate with other departments and healthcare professionals to facilitate smooth operations and the delivery of quality patient care
- Continuously update knowledge of NHS policies, procedures, and healthcare guidelines
- Attend training sessions and professional development opportunities to enhance skills and knowledge

Qualification and Desirable Skills:

- GCSE or equivalent; additional education or training in healthcare administration or customer service is desirable
- Excellent communication and interpersonal skills, with the ability to engage and empathize with patients and visitors
- Basic Computer Skills, experience of System One would be an advantage
- Good organisational skills, ability to prioritise tasks and manage multiple responsibilities effectively
- Attention to detail and accuracy in data entry and record-keeping
- Respect for patient confidentiality and adherence to data protection regulations
- Experience working in a fast-paced environment is desirable.
- Professionalism, reliability, and a commitment to providing excellent customer service
- Basic knowledge of medical terminology and healthcare processes is advantageous
- Willingness to learn and develop new skills, as well as a proactive attitude towards personal and professional growth

**What training will the apprentice take and what qualification will the apprentice get at the end?**

Business Admin level 3 Apprenticeship Standard Training in the workplace provided by PMA Ltd.
Functional skills maths and English, if required.
You will have on the job training within the organisation and have an assigned assessor who will provide you with additional training sessions and assessments to gain the business administrator qualification.
