**JOB DESCRIPTION**:
Receptionist / Administration Assistant

**RESPONSIBLE TO**:
Head of Finance / Executive PA

**JOB PURPOSE**:
Under the direction of senior staff provide general administration and reception duties for Quest Head Office.

As an employee within QUEST, staff may be required to work at any school within the Trust.

**LIAISING WITH**:
Chief Executive Officer, Head of Finance, Head of Operations, Director of Education, Principals, Executive PA, Trust HR Officer, Administrative Officers, teaching and support staff, external agencies

**SALARY SCALE**:
QUEST Grade B point 3-5

**Key Responsibilities**

To be a positive public ‘face’ and ‘voice’ of the Trust.

To provide receptionist service to the Quest Head Office.

Answering phones in a professional manner, and routing calls/taking messages as necessary.

Notifying appropriate the relevant member of staff that a visitor has arrived to see them. To arrange hospitality for visitors as necessary.

To sort incoming and outgoing post and take delivery of parcels.

To book meeting rooms for staff members and visitors.

Assisting with a variety of administrative tasks including copying, scanning, taking notes, and filing.

To be responsible for the school minibus bookings including signing in/out keys to ensure safe return.

To take minutes of meetings as required.

To undertake general financial and HR administration tasks as requested by the Business Development Department.

Maintain and update manual and computer records to include management information systems, as requested by the Business Development Department.

To type relevant documents under the direction of the Executive Team and Business Development Department.

To support the marketing of the Trust and Schools within the Trust.

To assist the Business Development Team with recruitment and on-boarding.

Assisting colleagues with administrative tasks.

Perform other administrative work like typing, proofreading, and transcription.

Performing ad-hoc administrative duties.

To ensure effective communication with colleagues.

Uphold the Trust’s digital strategy

To sign and uphold the Trust’s Code of Conduct and ensure confidentiality is maintained at all times.

Embrace and actively take part in the ‘Spirit of Purpose’, fulfilling obligations to maintain and continue professional development in line with the Trust expectations.

To undertake Health and Safety Training, Paediatric First Aid and Safeguarding Training as per the Trust training cycle.
