We are seeking to appoint an Assistant Examinations Officer to assist the Examinations Officer with a wide variety of aspects of the preparation and running of the public and school examinations, and the management and reporting of examinations and results data.

**The role**:
The Assistant Examinations Officer will assist the Examinations Officer with a wide variety of aspects of the preparation and running of the public and school examinations, and the management and reporting of examinations and results data. Particular areas of specific day-to-day focus and responsibility will also be agreed with the postholder. In the absence of the Examinations Officer the postholder would be expected to deputise for them, with support from the Director of Studies and other members of SMT as appropriate.

During the 22.5 hour weeks, there is flexibility as to the precise work pattern, e.g., 3 full days, 2 full days and 2 half days, or other combinations. During the 37.5 hour weeks, the standard working day is from 8.30am to 5.00pm (with a one hour lunch break). However, the post-holder will be required to flex hours to start and/or to finish later in order to start, end and supervise the examinations that are taking place.

All staff share the responsibility for promoting and safeguarding the welfare of the pupils, in accordance with the School’s Safeguarding Policy.

**Key responsibilities**:
The Assistant Examinations Officer works alongside the Examinations Officer to ensure that all examinations processes runs smoothly and in accordance with the Joint Council for Qualifications (JCQ) regulations.

The Assistant Examinations Officer will help the Examinations Officer with:

- The collection of information for public/school examinations including data for estimated entries.
- The collection and submission of coursework and controlled assessments.
- Timetabling of both public and internal school examinations.
- Arrangements for modern language orals, music performance examinations, Mathematics Challenges and Physics Olympiads when required.
- Identifying examination clashes and making appropriate provisions for students, including their supervision.
- Providing guidance as required to staff, students and parents
- The recruitment training/management of examination invigilators, including the production and maintenance of all invigilation rotas.
- School room changes - maintaining integrity of the school Rooms Spreadsheet, arranging alternative rooming upon request and coordination of venues for public and internal examinations.
- Checking, monitoring and recording the receipt of examination papers and maintaining their security.
- Setting out the Sports Hall and other examination rooms before each examination session and ensuring all necessary stationery and materials are available prior to examinations.
- Starting public and school examinations and being present to help deal with problems arising.
- Results and results download days, including arrangements for Enquiries About Results (EAR) as well as the maintenance of the EAR spreadsheet.
- Producing analysis of examination results and relevant statistics for the Head Teacher, HoDs, SMT and Governors, and publication on school website and the Department for Education (DfE), Independent Schools Council (ISC) where appropriate.
- The provision of data for Centre for Evaluation & Monitoring (CEM) and the production of the Advanced Level Information System (ALIS) registration spreadsheet for sixth form Adaptive Tests.
- Organising invigilation rotas, managing and supporting in invigilators
- Processing invoices and invigilator claim forms for payment.

- The ability to remain calm under pressure, adapting to problems as they arise whilst adhering to Exam Regulations.
