**The Team**

The London Office is the largest team within H&P. It is led by one Managing Partner (Consumer & Health) along with their Partners. Within the team, each Partner is typically responsible for 2 teams of Insight professionals who deliver research and consulting services to their portfolio of clients. Health is made-up of similar levels as Consumer, but teams are allocated based on projects, therapy areas and specialisms. The London Team has 140 employees.

**The Role**

PA to MP & Global CEO encompasses the following areas of responsibility:
Diary and meeting management for the MP - keeping abreast of diary commitments, reminding management and anticipating work that may be required (where possible)

Proactively managing appointments, times and materials

Telephone management (working with the other support staff to take incoming calls and new business leads, directing them to relevant people for follow-up)

Liaising with major clients/ new business prospects and DAS/advertising agencies

Internal liaison and communication with individual teams and rest of the company for all company meetings, training and pitching

Making travel arrangements and co-coordinating itineraries - provide management with written itineraries

Typing documents and producing PowerPoint presentations for the MP

Managing meetings for the Consumer Partner Team, the Health Partner Team and wider London Team

Setting up all meetings attended by management team: internal and client/ prospective clients

Ensuring all attendees are aware of objectives of the meeting, time and location

Where appropriate attending, taking minutes and typing up notes for distribution

Managing the weekly ‘QuickFire’ status meetings - management schedule, attend, take notes/actions and follow-up on actions

Overseeing Management Team databases, storage drives, marketing contacts, ensuring they are kept up-to-date

Collecting Senior Management expenses, completing expense forms and ensure they are approved / submitted by the relevant member of management (list of individuals will be provided)

Keep the management holiday schedule up-to-date, ensuring senior coverage always

**Function**

To work using your own initiative and be proactive in assisting the MP to fulfil their day-to-day tasks

Recognise your value to the business and be an ambassador for the company

**Qualifications**

Strong working knowledge of all Microsoft packages (Word, Excel and PowerPoint)

Strong knowledge of Outlook

**Experience**

Extensive experience in a similar role

Worked as support/assistant to senior staff

Able to work with employees at all levels

Previous experience working for a research/media/advertising company would be an advantage

**Essential skills**

Excellent organiser, ability to prioritise and strong time management and multi-tasking skills

This is a demanding role, managing the requirements of the senior leadership team as well as the wider London Team. An ability to multi-task, prioritise and influence others is essential
