Personal Assistant to Head of Clinical and Radiation Physics / Administrator

We are looking for an enthusiastic, highly motivated and experienced Personal Assistant/Administrator to join the Clinical and Radiation Physics team, which is part of the Healthcare Science and Technology Service Line

The post holder will provide Personal Assistant support to the Head and Deputy Head of department and provide administrative support to the wider team

**Applicants who wish to be considered for the post must have**:

- Previous background in a variety of administrative and clerical duties, preferably including PA experience
- Excellent verbal and written communication skills
- Excellent organisational and time management skills, with the ability to prioritise conflicting demands
- The ability to work independently and as part of a team
- Excellent keyboard skills and be proficient in MS Office suite
- Excellent attention to detail and the ability to maintain professionalism and confidentiality at all times, often in difficult or pressured environment

Principle duties include
- To provide PA support to the Head and Deputy Head of department
- To provide a full range of administrative duties as required by the wider team
- To provide administrative cover to the Service Line as required
- Maintain, process and storeinformation utilisingsystems that support the department in its day to day functioning
- Process, calculate and maintain all annual leave and records for the department
- Coordinate and provide admin support for department and service line meetings as required
- To book travel,accommodation and study leave for team members
- Place orders with external suppliers via the Trust procurement system

The Healthcare Science and Technology Service Line provides specialist technical and scientific expertise in connection with the use, management and development of healthcare technologies and associated clinical services.

The Service Line employs a workforce of technologists, engineers, scientists and administrative staff and provides specialist healthcare science and technology services covering the following areas:

- Clinical and Radiation Physics
- Clinical Engineering
- Radiotherapy Physics
- Clinical Measurement and Innovation
- Sterilisation and Disinfection Unit

The service Line holds an operational budget of approximately £9.5m and has a workforce of approximately 200 WTE plus a cohort of supernumerary trainees.

The use and support of healthcare technology is central to the safe, effective and efficient, timely and convenient delivery of patient-centred services. This Service Line provides a range of specialised clinical support services which are essential for the Trust to realise it's strategic aims.

The small team in Clinical and Radiation Physics provides expert scientific services in radiology physics and radiation protection to the Trust and other NHS, non-NHS and academic institutions.

Preference will be given to internal Trust staff, as well as ‘Priority’ and 'At Risk' status including NHS at Risk staff throughout Devon who is able to display recent relevant experience as dictated by the Person Specification.
- Provide a high standard of administrative duties to the Clinical and Radiation Physics team
- Arrange conferences, travel and accommodation for the team, ensuring electronic records are updated accordingly
- Arrange meetings, prepare and circulate agendas, record accurate notes and distribute as required
- Maintain and update current filing systems
- Maintain E-roster system for the department and update absence records whilst maintaining confidentiality
- Open, sort and action incoming mail
- Answer the telephone and take messages in a professional manner
- Coordinate and support the Dosimetry Service
