Administrator - Physiotherapy

We are seeking to recruit a well-motivated, reliable individual with good communication and interpersonal skills to join our admin & clerical team for 37.5 hours per week, working the following shift patterns: 37.5 hours over Monday to Friday, between 8am - 6pm.
Typing/word processing is essential along with IT skills including knowledge of Microsoft packages. Secretarial experience is desirable but not essential, but you should have an administrative background including dealing with the general public on a face-to-face basis and by telephone often around sensitive issues.
A high standard of communication and interpersonal skills with the ability to work with staff at all levels is essential to this post along with a strong team ethic. A good knowledge of the NHS would also be advantageous
The post involves booking/arranging patient appointments, record retrieval, data inputting, reception duties and all general office duties. Communicating with other clerical staff, Therapists and Healthcare colleagues from internal and external sources, satellite clinics working in community-based settings and Wards across multiple sites.
To support admin tasks, providing varied administrative support relating to the therapy teams and admin colleagues.
Deal with telephone enquiries, often of a sensitive nature in a constructive and sympathetic manner, referring to the appropriate person where necessary and rerouting these calls when required.
Provide cover for absent administration colleagues including reception/booking office role and responsibilities within the department/across varied sites.
Support administrative colleagues during periods of sickness, annual leave or training with support and guidance from seniors as required.
B ooking patient appointments including rescheduling/cancellation of an appointment
Maintain efficient office systems, and maintain a booking out system for all patient case notes. Liaise with medical records and other departments/satellite locations
Recognise and deal with difficult situations and utilise procedures/policies to minimise violent and aggressive behaviour (receptionist and telephone duties).
To ensure accuracy when administering any relevant IT systems.
Access the Patient Advisory Liaison Service (PALS) where appropriate
Assist in the monitoring of equipment and stationery stock levels. Input orders via the Trust electronic and/or paper ordering systems
Take part in departmental meetings, administration meetings and team briefings.

The job holder will deal with general telephone calls and enquiries from patients, the public, staff across varied sites, and other Health Care Providers, ensuring that they are dealt with accurately, in a timely, polite and courteous manner.
The job holder will have some involvement with Physiotherapy and Occupational Teams and Service Managers across the Specialty / Division to ensure that patients are treated in accordance with the Trust’s policy and procedures.
The job holder will be expected to contribute to the daily delivery of the Service by ensuring all tasks required by the Teamare completed in as timely and efficient manner as possible.
It is expected that the job holder will contribute to the development of an efficient Service, undertaking a range of clerical duties in support of the Department/Booking Office.
