The Programme Support Officer will assist with all programme administration for the efficient delivery of the Operations Programme, which includes several operational programmes and projects being delivered as part of the corporate transformation programme.

Directly supporting the Operations Programme Manager and Operations Programme Team by creating and maintaining programme and project documents and the production of reports to agreed standards. You will work with the Portfolio Office and Transformation team to ensure the use of standard templates and processes, and to meet reporting timeframes as well as arrange meetings and events, ensuring that arrangements and papers are in order and professionally conducted.

**Responsibilities**:
**Administrative support -**
- Prepare for meetings, taking actions and notes, and following up on the completion of actions.
- Prepare, slides and documents and distribute papers and information as directed.
- Maintain action and decision logs for the programme and all sub-projects.
- Ensure that all papers/information relating to the programme and projects are received, logged, and acted upon according to timeframes.
- Create, manage, and store all documents according to Portfolio standards.
- Ensure folders are up to date and any changes are communicated to the programme team, maintaining version control.
- Support the production of progress reports, including dependencies, risks, and issues.
- Provide others with relevant information on the programme/projects as required.
- Draft responses on behalf of the Programme Manager and Project Team as directed.
- Ensure all relevant parties are informed of changes, to documents, arrangements for meetings, etc.

**Communication -**
- Create team stand-up meetings and other team meetings.
- Support the Programme Manger and Transformation Communications Manager in creating/maintaining the programme communication plan and creating and delivering messages/events.
- Work closely with the Portfolio Office and Transformation team colleagues, attending meeting when required.
- Act as a point of contact for the Operations Programme.

**Other -**
- Liaise with colleagues/teams to ensure smooth delivery of presentations and events.
- Assist with recruitment and prepare inductions for new team members.
- Attend relevant training as necessary.
- Comply with, and implement as required, all security policies and procures applicable to your role and location (including Shipment, IT, and Information Security).

**Skills, Experience and Educations**:
**Essential**:

- Extensive administration experience in a complex organisation.
- Experience in a programme/project support role for a large-scale project.
- Excellent communication and interpersonal skills.
- Proactive, ability to work autonomously and with direction.
- Good analytical and judgemental skills.
- Excellent administration and support skills.
- Advanced knowledge of Microsoft Office: Excel, Word, PowerPoint, Visio.
- Quick learner and ability to absorb information/new ways of working.
- Confident and able to problem-solve.
- Comfortable working to tight timescales.
- Attention to detail and quality standards.
- Flexible and adaptable.

**Desirable**:

- Higher Diploma in Administrative Procedures or equivalent experience.
- Project Management qualification
- Familiarity with PRINCE2/waterfall project methodology.
- Experience in a Logistics / Biotech company
- Familiar with SharePoint and Teams.
- Knowledge of Microsoft Project software.
