**Overall Role Purpose**:
To provide a professional and efficient administration service to Complete Care Agency and senior managers within Complete Care Agency. Co-ordinating with our training providers to ensure staff are booked onto courses and attend in accordance with our training matrix. Ensuring the training matrix and staff files are up to date with completed training as well as maintaining in house achievements on our electronic HR system. In addition, you will provide general administrative support to the business, carrying out timely right to work checks and ensuring all staff have correct documentation on file. The job holder will provide reception cover and take general enquiries and providing a warm welcome for staff and visitors.

**Key Accountabilities**:

- Greet and welcome all clients, staff and visitors to the business and provide cover on reception.
- To be a pro-active member of the team, working closely with the recruitment and the Complete Care team, demonstrating autonomy in understanding and co-ordinating the training of internal staff and maintaining staff HR documentation, such as Right to Work Checks and car insurance.
- Booking, scheduling and monitoring the completion of training sessions in order to ensure maximum attendance.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor signing in book for fire regulations).
- Develop excellent working relationships with our training provider.
- Co-ordinates the training needs of internal staff.
- Ensuring efficient systems and uploading HR documents onto employee records.
- Ensure that the reception area and training area is tidy and presentable.
- General administration duties for training including the updating of staff files and the creation of certificates of achievement.
- Scan, maintain, files and, where necessary, archive records.
- Maintain supplies of office consumables.
- Awareness of company Health & Safety procedures.
- Minute meetings including disciplinary as required.
- Ensure invites to investigations, disciplinary and meetings of concerns are written and sent as requested by senior management.
- Ensure confidentiality of all clients, staff and visitors is maintained at all times
- To support, understands and processes information in order to produce accurate training reports

**Experience & Skills**:

- Proven work experience as an administrator, customer service experience or similar role
- Office and administrative experience and skills
- Able to deal with difficult clients or customers and good customer service knowledge
- Excellent verbal and written communication skills
