Office Administrator

**General purpose of role**:
To ensure the timely and accurate preparation of all books and records.
- **Specific Responsibilities**:_
- **Accounts**
- Data entry, reconciliation and completion of accounts to trial balance stage using Key Prime. Invoicing of sales where necessary, and all aspects of reconciliation of despatches and contracts, together with the reconciliation of bank balances, and payment of accounts as required.
- 4 weekly payroll preparation/payment using Sage.
- Pension fund administration, and Directors administration of Tax affairs in conjunction with the accountant.
- Preparation of the Farm Valuation for the accountant.
- Administration of VAT and auto enrolment.
- **Farm Records**
- Timely and accurate completion of a range of records including physical sales, technical documentation. Comprehensive use of Gatekeeper. Assisting the Farm Manager with audit preparation and general protocol work.
- **Property**
- AST and rental administration.
- **Tenancies**
- Records and rental payment. Dealing with billing and other aspects where relevant.
- **Licenses and insurance administration.**
- **Budget and cashflow preparation**
- In conjunction with Farm Manager
- **Bank**
- Liaison and payments
- **Cash flow monitoring**
- Preparation of monthly data and background notes as required.
- **Telephones and utilities administration and organisation**
- **Office organisation / filing**
- **Additional responsibilities**_
Personal secretarial and administrative duties for the Director when required.
