**About the Role**:
To aid and assist in operational administration for the Head of Department as well as the department (as assigned to), including but not limited to special projects as assigned by the Head of Department. To assist, when requested, with administration of company procedures, processes and reports across the division; including minute taking for HR, Operational and or H&S meetings as well as writing and gathering information for reports. There should be flexibility to attend sites on occasional basis and always pre-planned and arranged.

**Hours**: Full Time (Monday to Friday)

**Salary**: £24,000 per annum

Main duties
- Writing accurate minutes for HR and Operational Meetings à this will include typing of any transcripts as recorded and ensuring accuracy of minutes for meetings. These must be completed in a timely manner in line with HR best practice and or Operational direction
- Write and gather statistics for operational reports as assigned by Head of Department - the majority of statistics will be gathered from SSA and or payroll, or other IT systems as trained
- Administration of departmental vetting processes including but not limited to DBS requirements (and the process) and or additional client based vetting processes
- Assist with business management systems including ISO Administration (as it relates to your departmental responsibilities), the Sasse Service App and our Time and Attendance Management system
- Assist with coordination of basic People and Practice tasks (i.e. TUPE listings, staff schedules, holiday schedules) within your department as instructed by your Head of Department (in conjunction with Head of People and Practices)

Additional duties
- Administration and formatting of receipts in line with purchasing and expense policy on behalf of the Head of Department
- When instructed processing end of month extra spends, costs and or departmental reports
- Ensure travel arrangements are made and organized for departmental employees when requested / instructed by Head of Department (ex: travel for annual conferences, annual Christmas party, training, etc.)
- Attend, complete and pass any mandatory training as assigned by Head of People and Practices and or Head of Department
- Attend staff interviews and or assist with organization of staff recruitment using our ATS system and or as instructed by Head of Department
- Online purchasing as requested by Head of Department with accompanying PO and in line with our purchasing procedure
- When requested and planned to attend sites to assist with minutes and or administrative requirements
