Working as part of a small team within the Commercial Office, the **Retail Gift Aid & Operations Administrator** will be supporting all the Hospice shop teams and their management, over a wide operational remit.

You will collate and process the Gift Aid Donor Declarations received weekly from our shops, ensuring that they meet the HMRC requirements, by reviewing and amending as appropriate and compiling management reports on accuracy.

Additional duties will include day to day contact and discussion with the shop teams to answer queries and requests to ensure they operate efficiently; you will also be responsible for the management of the sales consumables ordering process via our supplier portal.

**About the role**

You will be responsible for receiving, sorting and distributing the incoming retail mail arriving each week from our Logistics Team; sorting the Gift Aid Donor Declarations upon receipt, then processing to ensure that they have been entered correctly so as to achieve and maintain 100% accuracy, enabling confidence to claim to HMRC.

You will support the Retail Operations Manager in fulfilling all day to day operational activities. You will assist where required to ensure that Hospice policies and procedures are available and distributed in a timely manner following any review so that our team managers can rely on the information. You will be able to visit other hospice sites for training as required and to liaise with shop teams on Gift Aid and operational issues, building up a rapport of trust and confidence.

**About the person**

You will be a confident and accurate worker, with an eye for detail, who enjoys an office environment and is able to work both in a team and independently. Ideally you will also be able to travel to other sites, including the retails shops as requested.

Key responsibilities:

- Processing Gift Aid Donor Declarations
- Compiling weekly accuracy reports for onward distribution to retail management
- Participating in the Retail GA notification process ahead of a claim;
- Answering donor questions and requests for basic financial information as stored on the Chariot database, pertaining to St Peter’s Hospice Gift Aid.
- Authorising requests via supplier portal for ordering sales consumables, ensuring that requests meet requirements for cost expenditure and saving
- Managing requests & queries over two Microsoft Outlook inboxes

What we can offer you**:

- Salary up to £23,000 per annum (FTE), dependant on experience
- Working hours are: 30 hours, over 4 days, Monday to Friday
- Full time (37.5) hours can also be considered
- Based at our office in Long Ashton (BS41)
