**Receptionist Administrator - Guildford, GU2 7LX**

**Job Overview**

To provide administrative support to the AEDS team and the first point of contact for the Service and to deal with enquiries from members of the public and health care professionals, both by telephone and in person.

**Hours**:37.5

**Working Pattern**: Monday to Friday 9am-5pm

**Location**: Farnham Road Hospital, Farnham Rd, Guildford GU2 7LX

**Band 3 Pay**: £11.69ph

**Essential Requirements**:

- Microsoft package - mandatory,
- Outlook - mandatory
- Good organisational skills - mandatory
- System 1 desirable

**Principal Duties**:

- Telephone calls received daily: must establish the urgency and take appropriate action or pass on to the most appropriate person. This will include taking detailed, often complex, messages when staff are engaged or out of the office.
- Physical Health results received daily: take appropriate action and/or pass on to the most appropriate person. This will include ensuring results are dealt with and any actions requested by clinicians are followed up appropriately
- Provide assistance to clinical staff with queries and problems.
- Carry out all administrative duties to support the physical health team in the successful delivery of the service.
- To type correspondence, reports (sometimes of a distressing nature), care programme approach reports, assessments, audit reports, discharge letters and any other relevant correspondence.
- Collect, date stamp and distribute incoming mail and prepare outgoing post for mailing and ensure the mail is posted each day, in a timely manner.
- Regularly maintain levels of stationery and other day-to-day office supplies.
- Prepare and be able to frequently access patient's records as required.
- Assist with the induction of new staff, including the provision of guidance and the **sharing of knowledge with new members of the team.**:

- Contact Facilities Helpdesk on maintenance issues and the IT Helpdesk on computing issues, as necessary

**The skills required are**:

- Typing of letters etc.
- Must have the ability to multi-task and to deal with frequent interruptions and a high volume of work.
- Accuracy and attention to detail will be required at all times.
- Must be a team player, be flexible and adaptable.
- Must have good organisational and interpersonal skills
