**Job role and purpose**:
The post holder will ensure that high quality administration for Safeguarding Children and Adults is in place and maintained. They will support the Governance Manager and Safeguarding Clinical Lead of SHP to undertake their roles effectively.

The post holder will ensure that the highest standards of communication across all stakeholders are maintained at all times. They will ensure that a data base is effectively and efficiently maintained and upgraded as required to meet the reporting needs of the SHP and its commissioners.

**Main duties and responsibilities**:
The main responsibilities of the role will include:

- Process safeguarding adult and child alerts in accordance with the timeframe process.
- Liaise with all teams regarding the safeguarding process, particularly team Managers and Safeguarding leads as necessary. Communicate any information, reports messages to SHP as necessary.
- Liaise with the relevant Safeguarding Leads with any communications received that involve potential risks to child and adolescents (i.e., through domestic violence alerts; or safeguarding alerts that involve children).
- Liaise with local Authority safeguarding teams to ensure that the Safeguarding
- process/communications run smoothly.
- Ensure effective communication pathways are in place to process and monitor MCA DoLS process.
- Collect data and provide data reports for Safeguarding, MCA DoLS meetings.
- Attend CPP/Social Services meetings as per Clinical Safeguarding Lead, escalate actions to relevant team members and assist in gathering information for CPP report.

**Maintenance of the Systems**
- Maintain the Safeguarding and MCA DoLS database on a daily basis, ensuring all information is up to date. This involves alerts, and all other reports received.
- Reconcile database against Local Authority database where required
- Performance Monitor any lapses in processes and issue any delay notifications and escalate accordingly.
- Work with Performance on a monthly basis to provide relevant Key Performance Indicators, ensuring that all data is accurate.
- Inform practitioners of reports received for checking.
- Reporting - Produce weekly reports as required for the Directors and Associate Directors.
- Request weekly “situation report’s” for Local Authority where required.
- Update and chase Audit action plans log and send report to Associate Director for safeguarding and local practitioners.

**Administration of meetings**
- Ensure Monthly Multi agency Risk Assessment Conference (MARAC) agenda actions and reports are highlighted to appropriate practitioners.
- Minute strategy meetings, when necessary, for the Safeguarding Lead and/or Coordinator.
- Minute the monthly Safeguarding Children & Adults Group meetings.
- Provide any admin duties for Safeguarding Practitioners as and when required including assist with diary management and arranging meetings.
- Send out meeting agenda, papers for Safeguarding Leads meeting and prepare meeting papers.
- Monitor and collate any training invites, attendees, apologies given.

**Other Duties**
- Receive and log domestic violence alerts. Distribute accordingly to BIG - Blue (Shirley, Haslucks), Indigo (Monkspath, Jacey, Green (Grove, Dickens Heath) Clinical leads for discussion within their teams.
- Assist clinical lead of Safeguarding with reports, room bookings as required.
- Provide ad hoc reports as required about safeguarding investigations.
- Responsible for the management of the central filing systems - paper and electronic for the safeguarding team.
- Ensure supervision process is in place for the safeguarding team to include updating of supervision and training tracker

**Quality Assurance**
- The post holder will work without direct supervision but will have policies and protocols to follow. The post holder will manage their own workload with direction from the head of Safeguarding as and when required.
- The post holder will recognise their own personal limitations and seek advice or support when required.

**Responsibility for Patient Care**
- The post holder will have incidental contact with patients during the course of their work.
- Be responsible for the ordering and maintaining of stationery stock on behalf of the safeguarding team.
- The post holder will work as part of the safeguarding team and will be required to demonstrate systems to new members of the team.
