Job Purpose: To contribute to and assist with the development and delivery of a high quality, comprehensive Learning Service for NNPA. To provide administrative and customer services support for the Learning Programme to ensure that all aspects are delivered and meet corporate objectives and targets. To provide supervisory support for the volunteers as required.

Duties and Responsibilities:
The following is typical of the duties the postholder will be expected to perform. It is not necessarily exhaustive and other duties of a similar nature and level may be required from time to time.
- To co-ordinate the support of all aspects of the Learning Programme, ensuring a first-rate customer experience.

Including:

- Coordinate learning bookings, respond to queries and oversee the customer booking process.
- Work closely with other staff, volunteers, partners and third party suppliers to support the planning and delivery of learning activities.
- Collate and check compliance of all learning delivery paperwork, including, risk assessments, insurance, contracts, booking agreements, terms and conditions, and payment agreements.
- Attendance at meetings and maintenance of accurate records of service uptake and other relevant data, and to support the evaluation of activities using appropriate frameworks.
- To coordinate the support of financial operations across the learning team.

Including:

- Coordinate the financial operations of formal learning activities including raising purchase and sales orders, certifying and authorising invoices for payment, set up ticketing sales processes online and on tills if required.
- Liaise with finance to lead on refund process, ensuring that learning programme protocols and booking terms and conditions are adhered to and excellent customer service is provided.
- To assist with the development and delivery of learning activities in line with the Authority’s agreed priorities, corporate objectives and targets.

Including:

- Support the Learning Officer and Assistant Learning Officer in delivery of learning activities and workshop sessions, both on at The Sill and on site across the National Park
- Deliver health and safety briefings and act as a first aider for learning activities as required
- Train and support volunteers in planning and delivery of specific learning activities, to ensure the provision of excellent customer service and experience
- Support the preparation of learning activities including production of appropriate resources and room set up;
- Co-ordinate learning activities, including liaising with suppliers, handling queries and troubleshooting to ensure all runs smoothly.
- Dismantle events and ensure all rooms/event locations are left to a high standard.
- Support and assist with the preparation of exhibitions, displays and other forms of interpretation for educational purposes in liaison with colleagues, volunteers, partners
- To assist with the preparation of learning materials, loan packs, documents and resources, and web publications to support engagement activity as required.
- Work closely with the Communication and Marketing team to assist the promotion and sales of learning programmes, facilitating the steps necessary to maintain links between booking systems and online presence to allow for promotion.
- Co-ordinate customer evaluation and feedback of learning activities, and support wider team in the monitoring and internal evaluation by analysing data, tracking costs and monitoring against budgets.
- To support the operational delivery of The Sill and wider engagement team.

Including:

- Provide advice and support regarding the learning programme to the Eastburn reception service and Sill Welcome Desk in order to assist with enquiries.
- Act as keyholder, opening and closing the building when necessary. This includes supporting delivery of events during evenings and at weekends as required.
- Promote and implement the Authority’s Culture and Values in all aspects of employment and service delivery.
- Assist in maintaining a healthy, safe and secure environment and to act in accordance with the Authority’s H&S Policies and Procedures.
- Maintain and promote a culture of excellence in customer service.
- Complete any other tasks as deemed necessary by the Learning Officer

Essential Criteria
- Excellent organisation skills with very high attention to detail
- Experience of organising events and activities for the public, ideally education events.
- Experience of supervising volunteers
- Significant experience of providing excellent customer service
- Good communication skills and experience of presenting to a wide variety of groups
- Strong time management skills
- Ability to complete a risk assessment and to brief attendees on Health and Safety requirements
- Ability to monitor and evaluate activities carried out using appropriate frameworks.
