We are delighted to be working alongside our private medical based client as they seek to recruit a Hospital / Medical Administrator to join their friendly, established and busy team based on the outskirts of East Grinstead.

My client is a Private healthcare clinic and prides itself a worldwide Centre of Excellence. Patients are referred nationally and internationally.

**The role**:
This role is responsible for the provision of high quality customer service, and providing secretarial support to the consultants.

**Duties/responsibilities**:
Answering telephone calls transferred from the enquiries team.

Respond to surgical scheduling administration enquiries on a daily basis.

To ensure awareness and understanding of the booking systems and have an understanding on how to record patient information, telephone conversations, correspondence, how to book appointments, book procedures and how to enter payments on the system.

Ensuring surgical lists are prepared every week, organising files, providing quotations, collecting payments, ordering graft tissue.

Liaising with patients regarding arrival and fasting times and preparing all administration work required for surgery. Making sure payment for surgery has been received. Making sure all relevant paperwork arrives from the patient before surgery.

**Administration/Medical Secretary duties**:
Respond to medical administration enquiries on a daily basis.

To ensure awareness and understanding of the system and have an understanding on how to record patient information, telephone conversations, correspondence, how to book appointments, book procedures and how to invoice and enter payments on the system.

To provide secretarial support to consultants and responding to their requests promptly.

Dealing with any incoming letters/referrals/enquiries for consultants and ensuring the consultant has seen the correspondence and responds where required.

Organising outgoing post and any other administration tasks as required

Collating figures and providing management team with final figures and targets met by the whole team.

Providing cover for other members of the team when they are on annual leave etc.

**Reception and Clinics**:
Provide cover for reception where needed to ensure reception is covered at all times. Ensuring the reception environment is tidy and drinks machines and brochure stands are well stocked.

Meet and greet new patients in clinic, providing them with information, ensuring they understand the clinic process, showing appropriate videos and introducing them to their consultant.

Providing patients with quotations in clinic and any information they may need for their procedure and booking procedure dates.
