To work closely with operations manager to support the operations manager in all aspects of practice functionality, motivating and managing staff, optimising efficiency, and overall performance, ensuring the practice achieves its long-term strategic objectives in a safe and effective working environment.

To manage and coordinate all aspects of practice functionality, motivating, training and managing staff, patient services, premises and health and safety management

**The following are the core responsibilities of the Operations lead. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.**

The Operations lead is responsible for:
a. Supporting and overseeing the day-to-day operations of the practice, ensuring staff achieve their primary responsibilities.

b. Allocating and assist in daily duties to ensure are actioned in a timely manner and completed daily. Manage group mailboxes, ensuring information is disseminated appropriately and responded to in a timely manner.

c. Recruitment of new staff with Operations manager

d. Providing leadership and guidance and training to all staff ensuring that they adhere to policy and procedure at all times.

e. Staff training and Appraisals

f. Administrative elements of QOF, liaising with GPs, nursing staff and administrators

g. Implementing systems to ensure compliance with CQC regulations and standards and ensuring CQC requirements are being met

h. Evaluating, organising and overseeing the staff induction programme ensuring all training needs are met and carried out in a timely manner

i. Implementing effective systems for the resolution of disciplinary and grievance issues, maintaining an overview of staff welfare

j. Assist with the management of the clinical system, ensuring IT security and IG compliance at all times and responding to and resolving all local IT issues

k. Actively encouraging and promoting the use of patient online services and other practice IT services

l. Updating and acting as the focal point for the practice website and social media sites

m. Guiding staff and developing searches and audits on the clinical system

n. Reviewing and updating clinical templates ensuring they relate to current practice

o. Marketing the practice appropriately to ensure patient population is stable or increasing

p. Guiding the team to reach QOF targets and ensuring patient invitations are sent (supported by operations manager)

q. Ensuring the staff implement the practice wide approach to the management of all patient services matters

r. Managing DNAs, providing data and planning tools coupled with liaison with referred repeat offenders

s. Assisting operations manager with complaints, ensuring complaints are dealt with in a timely manner and, where necessary, escalated to the next level

t. Assisting with management of the Patient Participation Group with Operations manager

u. Act as the building manager, dealing with defects, maintenance and all other associated tasks.Including health and safety aspects and undertake risk assessments. Ensure all staff are aware of the management of the premises, including health and safety aspects and undertake risk assessments and mandatory training as required. Manage asset registers.

v. Act as the communication link between the management team and staff, Coordinate all staff absences, maintaining an effective absence register.

w. portable appliance testing (PAT) and ensure equipment log is held.

x. Assist in managing rota’s and locum bookings and ensuring the clinical session structure is effective, meets needs of the patients and clinicians have access to suitable rooms.

**Secondary responsibilities**

In addition to the primary responsibilities, the Operations lead may request you to:
a. Deputise for the operations manager

b. Monitor and disseminate information on safety alerts and other pertinent information

c. Support the overall practice clinical governance framework, submitting reports for QOF, enhanced services and other reporting requirements using CQRS/ Open Exeter etc.

d. Brief clinicians on performance levels, advising actions to ensure high achievement across all QOF areas

e. Maintain the significant event database, providing advice to staff and briefing the team at meetings as required

f. Identify trends and devise solutions to reduce risk and repeated occurrences of significant events

g. Develop, implement, and embed the practice audit programme (in conjunction with the lead nurse)

h. Support in the reviewing and updating of practice policies and procedures

i. Support the practice and management team with continuous improvement and change initiatives.

j. Any task as requested by Partners/Business Manager/ Operations Manager
