Senior Administrator

The position of Senior Administrator is to provide high-quality administrative support to our Communities project - a well-established programme of volunteer-led peer to peer support running across the UK - and for our membership programme and online shop. The role is the ‘hub’ of the organisation, acting as a central point of contact for the staff team, volunteers, supporters and others contacting the charity. Due to the varied working patterns in our small team, the Senior Administrator is likely to be alone in the office for part of each week.
Our Communities project delivers a key service with around 80 volunteers running hundreds of virtual and in-person support group meetings each year across the UK, while also providing support to our community via closed Facebook groups. The role includes supporting our Senior Communities Manager and our UK-wide network of volunteers alongside processing online subscriptions and shop orders and posting out merchandise.
**Main tasks and responsibilities**
**General**
- Act as the main telephone contact for volunteers and other callers to the charity’s office
- Collate and post letters and packages to volunteers and supporters as needed
- Process online subscription and shop orders (including posting, where relevant)
- Maintain office and other supplies (including monitoring stock levels, placing orders, receiving deliveries)
- Open post and action as necessary
**Communities Team Support**
- Help the Senior Communities Manager to organise activities and events, including virtual events
- Collect and collate project monitoring data for the Communities Team
- Market our support groups and provide news updates through Mailchimp/Facebook/other social media and through the website
- Provide online basic IT support for some virtual group meetings using the Zoom platform (training given)
- Organise and store paperwork, documents and computer-based information
- Create and maintain filing and other office systems
- Maintain calendars and arrange appointments within the Communities Team
- Organise travel and accommodation for staff when necessary
- Any reasonable request from the Line Manager in order to fulfil the requirements of the role

**Person specification**
**Essential**
- You can demonstrate experience of providing administrative support in an office environment.
- Confidence using the telephone to make and receive calls
- Organisation and logic skills: Ability to follow-through on tasks, problem-solve, work to procedures, and deadlines with careful attention to detail
- You can demonstrate experience of effectively using a range of communication tools including social media.
**Desirable**
- Experience working with facebook in a commercial or charity environment

**Salary**: £23,000.00-£26,500.00 per year
