We are looking to recruit an experienced Executive Assistant to support the Director of ELIXIR. ELIXIR is an intergovernmental organisation, located on the Wellcome Trust Genome Campus in Hinxton, near Cambridge, in the UK.
ELIXIR has national centres in its 22 European member states and oversees a large portfolio of international research collaborations. As Executive Assistant to the ELIXIR Director you will have frequent international contacts
Your role
The Executive Assistant to the ELIXIR Director will provide full administrative and organisational support to the Director of ELIXIR. Additionally, the postholder is responsible for the office management arrangements for the ELIXIR Hub and supporting hiring managers with the recruitment, on-boarding and off-boarding of staff. They will contribute to other administrative tasks as part of the ELIXIR Operations team.
**The main duties and responsibilities are as follows**:
Manage the Director's diary, meeting schedules and travel arrangements.
Ensure any follow-up action or emerging issues are identified, logged and taken forward; prompt the Director about action needed, and to coordinate such action with colleagues or external contacts as necessary.
Ensure effective communication with internal and external contacts is developed and maintained; professionally manage visitors to the ELIXIR Hub.
Develop and maintain effective document management for the Director including confidential and people
You have
It is essential that applicants have a proven track record of relevant executive level administrative experience.
You will need to be service oriented with a high level of literacy.
This will be a busy role with frequently changing priorities, it is essential that the Executive Assistant is able to:
Prioritise, organise, and plan work independently with a minimum of supervision;
Draft correspondence and documentation independently;
Meet deadlines and prioritise effectively to handle peak workload;
Work with a high level of accuracy and attention to detail.
As the Executive Assistant will often be the first point of contact for the Director the following interpersonal skills are essential to the role:
Excellent verbal and written English
Excellent telephone manner
Experience of working in an international environment with an awareness of cultural differences
Ability to manage highly confidential matters with diplomacy, tact and discretion
Ability to handle a variety of tasks at the same time
Ability to work independently while integrating and contributing to the wider administration team
Flexible approach, self-motivation, and resilience
Being prepared to work occasionally outside normal office hours if required
You might also have
Knowledge of other European language(s) and an interest and experience in international research environments would be desirable.
Experience of working in an educational/academic/international environment would be desirable.
