Role Purpose

To provide integrated support to Group Head of Legal & IP Services, the QinetiQ Patent Protection Team and the Principal Legal Counsel-IP.

Key Accountabilities

Provide general patent and trademark support demonstrating self-motivation and ability to work autonomously.

Update and maintain the Document Management System (CPi) to ensure accurate information is recorded.

Maintain accurate electronic prior art files and records of disclosure, obtain prior art documents and translations where necessary from websites.

Quarterly Patent Renewals - liaise with decision makers in order to instruct renewals payments.

Trademark renewals - liaise with decision makers to ensure renewals processed.

Produce annotated list of forthcoming actions on a regular basis, complete Formalities actions promptly ensuring all actions are completed within strict deadlines

Organise and prioritise workload.

Liaise with Patent Offices, Trademark Offices, foreign agents, outsourcing agents, updating records, chasing when required.

Highlight issues which deviate from the normal operating process, research and suggest possible solutions.

Take ownership of enquiries, resolving or escalating as appropriate.

Demonstrate good diary management and professional telephone manner, fielding calls where appropriate, taking accurate detailed phone messages where necessary.

Demonstrate good IT skills and strong organisational skills acting on own initiative.

In Principal Patent Counsel’s absence seek advice from another Principal Patent Counsel if response to correspondence is required urgently.

Maintain records of invoices received, seek approval and record costs onto database.

Maintain EPO, IPO, EUIPO and WIPO deposit accounts, reconciling fee sheets to statements, record costs onto database.

Key Capabilities/Knowledge

Knowledge of MS Word packages

Knowledge of Document Management System (CPi), an advantage.

Sound judgment and the ability to manage busy workloads in order to meet deadlines and business needs.

An ability to understand, and work effectively, in a complex organisation, efficiently managing multiple work streams and competing priorities.

A team player, with strong communication, interpersonal and relationship building skills.

Experience & Qualifications

A qualified Chartered Institu te of Patent Attorneys - Patent Administrator with trademark administrator experience or an individual who has the experience and capabilities outlined in this role description.

Please note that all applicants must be eligible for SC clearance as a minimum.
