SALARY**:£30k-£35k DOE**

**OPPORTUNITY TO MAKE THIS ROLE YOUR OWN**

Provide a professional and comprehensive administrative service supporting project delivery and business operations. Perform business support functions as determined by Line Manager and Directors (Associates) as required. Work collaboratively as a team tosupport delivery, manage workload peaks and provide an effective, efficient support service.

**Your Main Responsibilities Will Include**
- Manage project documentation through its life cycle from inception through to completion/archiving Ensure complete and accurate records and clear audit trails
- Prepare and issue documents in line with service delivery procedures and within time frames. Chase up responses and issue prompts to as required
- Update and maintain project tracking systems and ensure accurate recording of milestones
- Answer telephone calls, forward, screen as required taking accurate messages
- Log service enquiries, issue/chase fee proposals/contracts, collate and ensure all commercial info on file. Ensure an accurate order book
- Perform and adhere to document control and control of records procedure
- Liaise effectively with Clients, Project Teams, Statutory Authorities, suppliers and internal customers as required, chasing up responses and issuing prompts internally enabling progression of projects
- Update and manage AIS and Clients document management systems. Provide training as appropriate and adherence by technical staff
- Deal and resolve project account enquiries
- Administer generic/service area mailboxes daily
- Produce reports for management/client/contract as required
- Diary management
- Minute taking
- Maintenance of office equipment
- Post, couriers, banking, ordering of stationary/PPE
- Business support functions as determined to include but not limited to:
Training

Customer Satisfaction

Waste management/recycling

Quality Assurance
- Adhere to Company policies and procedures and commit to continuous improvement

**Essential Skills And Experience**

- Conversant in MS Office suite
- Experience of electronic document management systems and ability to learn new systems
- Good command of English, written and spoken
- Excellent customer service skills
- Good numerical skills
- Excellent organisational and presentation skills
- Good attention to detail, accuracy and quality
- Methodical and analytical in approach
- Team player and able to work alone whilst keeping focused on priority issues
- Flexible and reliable
- Excellent time management skills
- Ability to prioritise and manage a busy and varied work load
- Proactive, take initiative in achieving targets and making suggestions for improvement.
