**The Purchasing Assistant will be responsible for but not limited to**:
- Material Planning: Develop and maintain an efficient material planning system to ensure that the right materials are available at the right time for production and assembly processes.
- Demand Forecasting: Analyse historical data, sales forecasts, and other relevant information to forecast material requirements accurately. Collaborate with sales, marketing, and operations teams to gather input and validate forecasts.
- Inventory Management: Monitor inventory levels of raw materials, components, and finished goods. Coordinate with procurement and production teams to optimize inventory levels, minimize stockouts, and reduce excess inventory.
- Production Scheduling: Work closely with production planners and schedulers to align material availability with production schedules. Coordinate with cross-functional teams to resolve any material availability issues that may impact production timelines.
- Supplier Collaboration: Collaborate with suppliers to ensure timely delivery of materials. Maintain effective relationships with key suppliers, monitor supplier performance, and proactively address any supply chain disruptions or issues. Develop strong relationships and can negotiate with suppliers (under the assistance of the Finance Manager)
- Handle supplier relationships as per the company ISO 9001 and ISO 14001 procedures, including setting up and maintaining SLA’s.
- System Maintenance: Maintain and update the MRP system, including data accuracy, item master records, bill of materials (BOM), and lead times. Continuously improve the accuracy and efficiency of the MRP system.
- Performance Analysis: Monitor key performance indicators (KPIs) such as on-time delivery, inventory turns, and production efficiency. Analyse data and generate reports to identify trends, areas for improvement, and cost-saving opportunities.
- Continuous Improvement: Identify opportunities for process improvements and implement best practices in material planning and inventory management.
- Collaborate with cross-functional teams to implement lean manufacturing principles and drive operational efficiency.
- Set up MRP requests via ERP (Projects, Job Cards etc.)
- Raise purchase orders daily as per ERP/ MRP requirements.
- Processing documentation for invoicing
- Fulfilling purchasing requests /ad hoc production orders
- Raising and following-up delivery claims
- Coordinating despatches and collections with various couriers
- Reporting weekly figures
- Produce purchase orders to suppliers and manage the timely delivery of required items ordered (updating dates on ERP, chase late deliveries etc.)
- Assist Purchasing Executive in smooth running of Purchasing function.
- Supporting Production Department with admin/ data entry
- Working with finance on month end actions
- Any other tasks required.
**The Purchasing Assistant will have the following experience, skills, and knowledge**:
**Essential**:
- Demonstrate flexibility and adaptability to be successful in a changing environment.
- Ability to work independently and use own initiative.
- Confident using Microsoft.
- Able to adapt working with new systems.
- Experience using systems.
- Attention to detail and work to high consistent standards.
- Minimum of 3 years’ experience in Purchasing/Procurement.
- Strong organisational skills and problem solving
- Broad knowledge of UK regulated and finance industry and commercial awareness
- Must be able to prioritise effectively and manage time in a fast paced, dynamic environment.
**Desirable**:
- Passionate about saving energy, carbon, and helping mitigate climate change.
- Desire to progress within a growing business.
- Procurement/ buying/ shipping experience
**Other requirements for the role are**:
Full training will be given, although the following would be an advantage:
- Good communication and interpersonal skills.
- Organised and able to complete tasks within time limits.
- Work independently and as part of a team to achieve a goal.
- Polite and helpful with a positive 'can do' attitude.
**Job Types**: Full-time, Permanent
Standard Office Hours - 08:30AM- 17:00PM Mon
