Accounts Payable Specialist

This role is to run the accounts payable function for the business. The role involves all aspects of accounts payable from providing advice to the business on coding purchase orders, engaging with them to ensure goods/services are receipted, the invoices are loaded and matched to preparing the payment proposals. There are also responsibilities around posting the bank entries and other related finance activities.
The role requires someone with strong communication skills and a confident and proactive approach. It is ideally suited to an individual who is a fast learner, has an ability to think logically through problems to implement a solution and has a desire to understand and improve all the financial control disciplines. The individual should strive to automate and simplify processes but also be aware that change doesn’t always happen overnight and therefore resilience to continue with current processes may be required. The individual should be a team player, able to support throughout the financial. The role would suit someone who enjoys interacting with people around the business, who has AP experience and who is strong with excel.
**R**esponsibilities**:
Accounts Payable
- Building a good rapport with the business to ensure they are engaged in supporting finance to ensure suppliers are paid on schedule
- Effective management of the purchase orders and receipting processes
- Processing incoming invoices and credit notes
- Maintaining a clean purchase ledger, ensuring items are matched off and avoid becoming old
- Supplier statement reconciliations
- Verifying Telecoms purchase invoices from receipt of data files from suppliers through the client management system, resolving queries then loading the invoice data to the finance system
- Regularly communicating with key suppliers to maintain good relationships and advantageous credit terms
- Preparing the twice monthly supplier payment runs and loading to the bank system
- Maintaining the employee expenses system, reviewing claims and posting monthly journal
- Coding and managing the corporate credit cards
- Maintaining a log of the interfaces used to download invoices from some suppliers and ensuring this is done as required in the monthly cycle
Bank and cash
- Posting daily bank receipts and payments
- Supporting Financial Controller in cash forecasting
Month-end / year-end close cycle
- Processing monthly journals
- Office of National Statistics and other government returns preparation
- Engaging with auditors to answer audit queries
The finance team is small, and the job holder will also be expected to help support other members of the finance team as required, for example to cover holidays. In the near future we may be upgrading the accounting system and the job holder will likely play a central role in this project.
