We have an exciting opportunity for an enthusiastic, motivated and experienced administrator to join our Health Psychology team.

We are looking for someone to provide high quality administration support, to be able to work flexibly, to work on your own initiative and be a pro-active team member.

You must have very good planning and organisational skills, be an effective communicator, have excellent verbal, written and IT skills and be able to prioritise and manage a varied workload, adapting to service needs where necessary.

The role is for 22.5 hours per week and will be based at Walton Hospital

There may be a future option for extra hours - to be discussed at interview.

Key responsibilities of the role will be to work closely with our Operational Manager to support with undertaking routine data collection and audits, to provide cover for other administrative staff as needed, liaise with service users/patients and referrers and to be a point of contact for the service.

You will also support with organising meetings, monitor the booking of clinicians onto a rolling programme of therapy sessions, collate patient feedback and collect other data for the Quality Report, as well as monitoring annual leave/training compliance and helping with other duties as and when directed.

Our purpose is to provide community health services to a patient population of over one million people in Derbyshire and Derby, as part of Joined Up Care Derbyshire.

We employ around 4,200 substantive staff, caring for patients in 11 community hospitals and more than 30 health centres, as well as in clinics, GP practices, schools, care homes and, increasingly, in people’s own homes and via virtual consultations.

During the pandemic response we have led the implementation of public vaccination centres in collaboration with partners across health and social care.

**The post holder will be required to**:

- Support the Operational Leads with AMAT and Audits.
- Manage Patient feedback mechanisms and summaries.
- Monitor Annual leave/training compliance.
- Support the service with data for the quality report.
- Provide cover for the Health Psychology administrator as and when required.
- Act as a focal point of contact for the service, making new appointments and re-arranging appointments, answering queries and telephone calls, providing information etc. and ensuring that the service maintains a professional image at all times.
- Be responsive to the needs of patients / service users and uphold confidentiality.
- Provide an excellent front of house / reception function which is welcoming, respectful, dignified and confidential for service users / patients / carers and other visitors.
- Communicate confidentially and effectively with patients / service users, carers / relatives, health professionals, GPs, colleagues within the Trust and visitors to the department (by telephone, in writing and face-to-face). Occasionally telephone calls can be from distressed patients.
- Ensure that patient information is documented and processed in a timely manner and ensure the security of patient information at all times. Referrals to be scanned and inputted onto SystmOne TPP and letters to be produced to a high level of accuracy.
- Ensure that written, electronic and activity data are maintained in accordance with trust standards.
- Support Operational Leads in collating and inputting IP&C and Health & Safety audit data.
- Ensure the service is supported and that all administrative support functions are coordinated with support from the Operational Manager.
- Identify, develop and implement new office systems as required. Review and revise the admin protocol as and when necessary.
- Ensure stationery and other consumables are maintained by inputting stock orders on NHS Supply Chain, and non-stock orders on Oracle iProcurement (orders approved by the Operational Manager)
- Oversee site issues on a day-to-day basis, such as checking the security of the building at the end of the working day, doing health & safety checks, fire safety checks, and reporting risks or areas that need attention to the appropriate service, eg. Estates Helpdesk.
- Report risks, incidents or near-misses on Datix for approval by the Operational Manager or Clinical Director of the Service.
- Undertake training and be the designated First Aider and Fire Warden for the Department.
- Support Patient and Public Involvement activities, for example, maintaining contact details in line with GDPR rules and communicating with PPI volunteers.
- Update and maintain the Service Webpages and other information that goes outside of the team, eg. patient information leaflets and letter templates - with the support of the Operational Manager.
