**The Position**

At Edge, the Office Administrator reports to the senior management team and works towards ensuring a smooth business environment with a focus on performance efficiency throughout the different departments.

This position requires the identification of operational risks and opportunities, and providing solutions for the same together with the help of relevant departments.

**Responsibilities include but are not limited to**
- Provide support to the Community Manager with respect to the recruitment of support staff

Organising interviews and liaising with the Community Team
References & PVG check processing
ID badge & equipment procurement
Employee onboarding and induction support including digital account set-up for online portals in relation to the support team roles
Establishing and maintaining training logs and documentation for each member of staff
Reporting to management to ensure they are kept informed of progress.
- Provide support to the Community & Adventures Teams for staff rota creation, management via online portals and communications to both staff and clients
- Provide support to the Compliance Manager and ensure best practice is maintained at all times with documentation, record keeping and data protection compliance in alignment with legislation and industry governing bodies.
- Assist with the administration of client service agreements
- Reporting requirements for the Care Inspectorate, SSSC and other governing bodies
- Provide administrative support for payroll including but not limited to reporting, managing staff sickness and absence reporting, collating chargeable hours and managing staff annual leave
- Provide administrative support to the Finance department with purchase ledger activities, processing invoices and communicating with third parties as required.
- General administrative duties include (but are not limited to) call/electronic communications handling, ordering office supplies, calendar management, and filing.
- Reception duties include welcoming customers, partners and guests

**Desired Skills, Experience & Qualifications**
- Minimum of 5 years of relevant office experience, with a good working knowledge of business operations.
- Educated to “Highers” level or equivalent is preferred. National 5 / Standard Grade or equivalent Maths and English at grade ‘C’ or above, as a minimum.
- Proficiency with word processing, spreadsheet and presentation packages is essential. Some knowledge of database entry and report generation is desired.
- Proficiency in Gmail/Google Workspace and knowledge of online CRM systems such as ‘Hubspot’ and HR scheduling software such as ‘Deputy’ or ‘Breathe’ is desirable.
- Good interpersonal and communication skills, both verbal and written.
- Have a basic understanding of accounting and payroll procedures.
- Presentation and customer service skills are desired.
- Good problem-solving skills and collaborative style.
- Accuracy and a strong eye for detail.
- Ability to work independently and prioritise, whilst keeping management apprised of workload and any issues as they arise.
- Be proactive, anticipating the needs of the group; identifying and seeking solutions to potential issues before they arise.
- A demonstrated commitment to company values, and professional ethical standards of inclusiveness, honesty, and integrity in a diverse workplace working with vulnerable individuals.
- Understanding of confidentiality and data protection principles and procedures.
- Understanding the dynamics and culture of a social care setting is beneficial.
- Enjoys operating in a fast-paced, community environment.
