**Job Purpose**

IPG Shared Services currently provides a managed payroll service to IPG agencies in the UK. Payrolls are prepared by a 3rd party: ADP upon SSC payroll department review and validation. The role builds and manages positive working relationships with IPG agencies with HR and finance professional's providers as well as finance and HR professionals in the UK SSC and in local agencies.

**Key Responsibilities**
- Manage the payroll processes for the IPG UK agencies in compliance with local regulation and IPG standard procedures.
- Ensure all payroll data is accurate and delivered to any external provider(s) in a timely manner
- Document payroll processes as required using ADP CRM tool for all communication
- Ensure Shared Service Management approval prior to any chargeable CRM tickets.
- Ensure employee salary payments are accurate and are made within agreed terms.
- Responsible for the review and processing of maternity calculations / pension deductions and coordination with benefit/pension providers for employee deductions.
- Responsible for the resolution of Customer Service issues from agencies and/ or employees as required
- Ensure archived records to satisfy audit and statutory requirements
- Ensure confidentiality of all records in line with Service Level Agreements, especially in relation to the Data Protection Act, between agencies and clients.
- Ensure compliance with relevant employment law and industrial relations requirements
- Assist and contribute to the implementation of relevant payroll and other HRIS technologies
- Ensure that payrolls responsible for are processed in accordance with IPG policy and Sarbanes Oxley
- Manage audit processes within the Payroll department, including preparation and review for statutory, internal IPG, client and any other audit/review purpose
- Ensure statutory deductions are processed accurately and are paid over to appropriate authorities in the required time frames.
- Propose any process improvement.
- Month end closing responsibilities related to payroll entries and adjustment

**Customer Service Responsibilities**
- Enhancing the UK SSC's reputation for excellent Customer Service both internally and externally
- Maintain the good image of SSC UK
- Maintain good working relationships with other SSC teams
- Ensure service is delivered in line with agreed controls and procedures
- Ensure service is delivered in accordance with Service Level Agreements
- Initiate and support continuous improvement opportunities (both system and procedural)
- Collect and provide information for monthly key performance indicators

**Knowledge and Experience**
- Experience of using payroll software, in particular ADP
- Extensive experience of working in a payroll processing role
- Experience of processing high volume payrolls, with good knowledge of associated controls and procedures
- Experience working with an external managed service payroll provider
- Good knowledge of payroll best practice
- Good working knowledge of the calculation of manual payments
- Good understanding of relevant legislation include Data Protection, payroll taxation provisions
- Experience in a large media/advertising industry will be an advantage
- Experience of working in a shared service center will be an advantage
- Strong communication and customer service skills
- Strong problem solving and organisational skills
- Experience of, and competence in using, integrated ERP software (particularly SAP) an advantage
- Competent with Microsoft Office tools
- Able to work independently
- Well organised, methodical approach to working
- Sarbanes Oxley experience an advantage
