Endoscopy Receptionist/assistant Waiting List

This is an exciting opportunity to undertake a dual admin role providing efficient administrative support within the endoscopy department running a centralised system of patient centered endoscopy booking and covering a busy reception desk on a rota basis. The role will be pivotal to the effective management of all elective and planned waiting lists in order that patients receive the most appropriate appointment, having taken into account the clinical needs of the patient, suitable appointment availability, organisational values and NHS targets. To act as a first point of contact for the unit, co-ordinate all patient appointments and manage enquiries, escalating as necessary.

To greet, receive and direct patients, carers, and visitors at reception desks in line with Trust procedures.

Answer the telephone in accordance with Department procedure.

To understand the complete range of administration functions, responsibilities, and duties both routine and non-routine to contribute to the effective delivery of patient care, through knowledge of hospital systems and consultant practice.

To maintain and update the Patient Administration System (PAS) following training using training manual and procedures supplied.

To admit and discharge patients in a timely manner, correctly onto PAS to enable Clinical Coding to extract key information.

Prepare for upcoming clinics ensuring enotes and legacy files are tracered accordingly.

Use knowledge and experience of NHS booking systems to deliver appointments within NHS diagnostic waiting time targets in accordance with individual patient need, waiting list standards & Trust Access policy.

To maintain the various administrative work streams of the Endoscopy Booking Team and provide support for endoscopy nursing staff and senior clinicians.

To answer patient telephone queries offering advice and guidance on their admission, ensuring any medical or admission related queries are recorded and referred to the appropriate person and to monitor same to ensure that the patient receives a response in a timely manner.
