Summary
Our Buying team are looking for a Junior Executive Assistant to join the team. You will be working closely with the Senior Buying Directors as well as the wider buying team and will be responsible for office management duties from diary management to being the person to go to if any issues arise.
The Buying team has many touch points across multiple departments so you will need excellent organisational skills and communication skills. If you have a positive can-do attitude then this could be an exciting opportunity for you.
We have moved to a hybrid working model with a recommended 2 days in the office per week for appropriate Head Office and Regional roles, empowering our teams to choose how and where they work best. We feel it is important that, where possible, we offer our colleagues as much flexibility as possible and trust our teams to determine the right environments that work most effectively for them.
‘To keep in line with company structure this role will be called Officer internally’
What you'll do
- Coordinating appointments, managing the agenda, and consolidating minutes
- Executing general office management tasks, including hospitality and meeting room preparation
- Preparing templates for weekly meetings
- Assisting with new starters and training plans for the department
- Office management duties to include onboarding of new starters, creating information lists, ensuring all facilities issues are reported and dealing with visitors arriving at Head office
- Acting as the key contact for food donations collections
- Other ad hoc tasks
What you'll need
- Excellent organisation skills and attention to detail
- A strong multitasker with the ability to prioritise conflicting deadlines and a varied workload
- Experience of working as an office management assistant
- Outstanding communication skills and able to communicate at all levels
- Intermediate MS Office skills
- Experience of supporting managers/directors in the workplace
- Can do attitude and not afraid to get involved
- Previous secretarial/EA experience would be essential
- Written and spoken German Language skills would be an advantage but not essential
