**Background**

Burton & District Mind are a well-established Mental Health Charity with its head office based in Burton on Trent. We have been providing support for over 30 years within Burton and surrounding local districts.

Due to significant growth of the charity over the past 18 months there is a necessity for a Finance Assistant to join the team to support the Finance Officer in delivering robust financial and management accounts.

**Key functions of post**
- **Please note that this is a new post, and these functions may evolve as required. This will be done in consultation with the appointed person. **_

1. Support the Finance Officer in the processing and recording of financial information.

2. Deputise for the Finance Officer during periods of leave.

3. Work within the Finance Team to ensure accurate and robust financial controls are in place and identify areas for improvement.

4. Ensure all transactions are processed in a timely manner through accounting software.

5. Ability to provide a warm welcome, and basic mental health support to people with mental health problems and to signpost to appropriate services and projects as required.

6. Attend regular one to one supervision with the appointed line manager reporting on all areas of responsibility.

7. Attend regular team meetings and to support the ongoing development of the department.

8. Assist with the processing of the two, monthly payrolls and be confident to run these without assistance during periods of leave by the Finance Officer (once trained).

9. Maintain holiday and absence trackers.

10. Responsibility to track and claim Gift Aid.

11. Monitor fundraising income and expenditure.

12. Reconciliation of petty cash expenditure, counting of and occasional banking of cash and cheque donations.

13. Process DBS checks and payments.

14. Process weekly payment run through the bank, checking, and paying invoices from suppliers and staff and associates expense claims.

15. Accurate and timely raising of monthly and ad hoc invoices to funders.

16. Debt management, liaising with funders to ensure invoices have been approved for payment on time.

17. Assist in the preparation of monthly management accounts and quarterly scorecard report.

18. Assist with year-end accounts and audit preparation.

19. Assist with annual Companies House and Charity Commission returns.

20. Provide support with budgeting.

21. Ad hoc duties including answering telephone calls, procurement of stationery, IT, cleaning supplies etc.

22. Undertake any other duties as delegated, which are deemed appropriate within the pay scale and responsibilities of the post and following consultation.

23. To uphold data protection, professional standards and safeguarding policies and report illegal activity as required and informed by training and policy.

24. To undergo any training relevant to the role either internally or externally.

**Person Specification**

**Qualifying Criteria**
- Enhanced DBS, with no offenses listed for a minimum of 12 months.
- Two references outlining ability to work within a finance role.
- Clean driving licence and use of a car.

**Experience & Qualifications**
- Two years of experience working within a similar finance role.
- Experience of using Sage or similar accounting software package.
- Understand and speak English - GCSE in English.
- ICT skills at Lv2 or experience of working confidently with MS Office and Excel.

**Knowledge**
- Awareness of management and financial accounting.
- Awareness of importance of financial controls.
- Understanding of the safeguarding processes.

**Qualities**

11. Have good attention to detail and a high level of accuracy.

12. Willingness to learn about charitable accounts.

13. Ability to maintain professional conduct whilst supporting people with mental health problems, sometimes with complex needs and demonstrating difficult behaviour.

14. Ability to reflect and respond positively to constructive criticism during one-to-one supervision.

**Skills**
- Ability to work to deadlines.
- Ability to manage and prioritise workload and work by own initiative.
- Have good oral and written communication skills.
- Proficient in MS Office packages.

**Desirable**:

- Knowledge of charitable accounts.
- Payroll experience.
- Recognised qualification or training in Mental Health Awareness or equivalent.

**Number of roles**:One role employed by Burton and District Mind.

**Hours**:

- 15 hours per week, to be worked flexibly between Monday to Friday, between 9:00am - 17:00pm.
- Potential to increase to 22.5 hours.

**Contract**: Permanent

**Salary**: £25,000 per annum pro rata

**Responsible**: Finance Officer, Burton and District Mind.

**Liaise with**:
Suppliers, counsellors, recovery workers, volunteers, people with mental health problems, other local mental health providers, external charities and other agencies who support people with mental health problems and the general public.
