To support The Site Operations Team at MOD Boscombe Down with compliant and timely safety, compliance and assurance administrative tasks including but not limited to:
Working collaboratively as part of a busy and dedicated operational team and able to priorities tasks due to changing demands

Preparatory admin and ongoing support for reoccurring internal and external audits, assessments, pre-checks and all related activity

Ensuring all Risk Assessments and Fire Risk Assessments are in date and notifying owners when assessment is drawing near

Management of the master Fire safety strategy spreadsheet to ensure all are completed and in date with all actions logged and chased within defined timescales

Ensuring all risk assessments and safety documents are saved centrally and in the correct folders and the continuous good housekeeping of records

Ensuring the hard copies in buildings are present and correct, in alignment with the electronic library

Uploading of all audit findings and actions to the Compliance Assurance Tool (CAT)

Communicating with CAT action and statement owners to ensure compliant closure in a timely manner.

Reception Training to provide ad-hoc cover as part of the resilience team

Database Management

Purchasing for site operations

Document Management and Control

Documentation and scheduling of Safety and Compliance Checks

Deliver Business Support administrative services to a high standard managing and completing tasks, using own initiative. Resolve queries using judgement based on analysis of information and previous knowledge and experience

Deliver services across all areas of the business in line with business needs as determined by the Functional Manager and the Head of SIte.

Ability to communicate confidently with people at all levels

Ability to use own initiative in non-standard situations without supervision.

Competent in all MS Office packages to intermediate level or above.

Able to make decisions based on own knowledge and experience.

Good organisational skills with the ability to multi-task

Any tasks given by Functional Manager/Service Lead/Head of Site

Delivers support and administrative services to a high standard managing and completing tasks, using own initiative

Supports the effectiveness of the Site Operations Team and support the HoS. and wider operational teams by proactively seeking areas for continuous improvement, participate in service team meetings implementing improvements as well as supporting others with such activities.

Produce and oversee the pulling together of Work Instructions for new tasks and ensure these are auditable and filed correctly.

Experience in Demonstrable assurance, operational safety and associated qualifications such as IOSH/NEBOSH/Risk Assessor/Auditor/Fire Safety/ERP desirable

Level 3 or equivalent business administration qualification and/or evidence of equivalent experience desirable

Existing security clearance an advantage.

Please note that all applicants must be eligible for SC clearance as a minimum.
