DIG International Group Limited is an international civil engineering contractor operating in Sierra Leone, West Africa. We are a new and expanding company and have an exciting opportunity for an experienced Administrator to join our friendly team.

The postholder will form an integral part of the DIG team and will have sole responsibility for managing flight and travel arrangements for circa 50 employees who travel to and from our sites in Sierra Leone.

The role will be based at our Llangennech office initially (training period), but with hybrid working available thereafter.

**About the Role**:
The role is a busy and fast-paced one and requires an energetic individual who thrives on managing a busy workload.

Responsibilities include:

- Arranging flights for all employees (some bookings are made through our travel provider; some are made directly with airlines)
- Sending flight booking confirmations to individuals along with any special instructions e.g. entry requirements
- Maintaining records of all flight bookings and managing central R&R records
- Sending weekly “Arrivals and Departures” lists to DIG management team, with updates/amendments throughout the week as appropriate to reflect any changes
- Liaising with Procurement and Logistics team to establish additional baggage requirements and ensuring requests are processed promptly
- Maintaining accurate records of costs (flight bookings/amendments/cancellations/refunds/excess baggage charges)
- Managing air miles membership for all DIG travellers, ensuring that all travellers are registered and membership details are quoted at the point of booking
- Liaising with travel provider to find solutions in the event of any missed flights, cancellations etc. Chasing refunds as appropriate.
- Assisting with the arrangement of visas and registration on the Sierra Leone government portal
- Keeping fully up to date with the latest guidelines and communicating changes/entry requirements to travellers
- Acting as a point of contact for any travel related emergencies, which may occur out of hours
- Undertaking other administrative tasks as and when required
- Booking hire cars for travellers

**About You**:
You will be a highly organised individual who enjoys managing and prioritising a busy workload. You will thrive on solving problems and taking prompt action to find solutions to any travel challenges. You will take pride in ensuring your records are accurate and detailed.

You will need:

- Excellent communications skills - you will be liaising with travel providers, airlines, DIG site teams as well as individual travellers
- Excellent attention to detail and high level of accuracy
- Proficiency in Excel as spreadsheets are an integral part of the company’s records
- Ability to keep calm under pressure and good problem-solving abilities
- Proven ability to work in fast-paced, deadline driven environment
- Ability to take ownership of workload and operate with minimum supervision
- A willingness to be flexible with working hours and responsibilities
- Excellent teamworking skills - we are a small team and you may be required to occasionally assist colleagues from other departments with urgent tasks
