Job Purpose

Reporting to the Site Operations Manager, the Support Services Coordinator serves as a resource to support the effective and correct functioning of the site operations and laboratories.

The Support Services Coordinator will actively carry out processes to ensure laboratory supplies are available and adequate to support the technical work; from supplier’s engagement to ordering process and inventory update.

The Support Services Coordinator will support the Site Operations Manager in the day-to-day site operations, including administrative tasks (Purchasing System and Document Management System).

The Support Services Coordinator will work within a mixed matrix team (Research Scientists, Development Engineers, relevant Head Office functions) and external contractors to support the day to day running of site and laboratories.

Profile
- Life Sciences or Business degree preferred.
- Experience of interaction with suppliers.
- Experience in document management systems.
- Experience of laboratory processes, health and safety systems, working knowledge of COSHH and Risk assessments.
- Knowledge of procurement and purchasing systems.
- Excellent interpersonal skills: ability to interact with people at all levels within and outside of the organisation.
- Proactive work management approach with ability to be adaptive.
- Ability to work in and collaborate in a team environment.
- Sense of urgency (Action oriented/drives for results).
- Team oriented/strong team player building positive relationships with others.
- Excellent time management, prioritization, and organization skills.

**Responsibilities**:

- Suppliers’ engagement and relationship building for consumables selection and ad-hoc provisions.
- Provision and ordering of laboratory PPE.
- Selection, provision and ordering of chemicals, reagents, active ingredients.
- Manage standards and samples requests to Chiesi Corporate R&D.
- Coordinate regular laboratory support activities (Stock check, Washroom activities, Routine Laboratory checks, Solvent deliveries, Waste Removal, Lab coats washing etc.)
- Coordinate Hazardous Waste management (procedures review and implementation, monitor waste processes in the laboratories) and support Site Operation manager in the management of Waste contractor.
- Support general laboratory activities when required.
- Coordinator for the Document Management System (SOP, WI, COSHH and RA), printing and management of controlled copies, checking status and manage documents workflow.
- Provide physical reception cover when security contractor is off site.
- Liaise with Procurement Team for setting up new suppliers.
- Raise purchase requisitions, liaise with DevDev and EIPD teams.
- Receipt goods and services in the purchasing system, liaise with Purchase Ledger Team.
- Manage goods-in and goods-out, correct recording of goods in the inventory system.
- Small items shopping (weekly canteen supplies, office supplies i.e., stationery).
- Arrange shipping (DHL and Royal mail).
- Arrange all Catering and Refreshments required for meetings.
- Arrange airport transfers and hired cars as required.
- Manage own workload and assignments to meet all internal and external deadlines for maximum efficiency and accuracy.
- Supervise Laboratory Technician contractor related to washroom activities and monthly balance checks
- Comply with all aspects of site and company Health and Safety.

Working Conditions
- Approximately 60% normal office and meeting room conditions.
- Approximately 40% laboratory and manufacturing environment including exposure to active raw materials and finished products.
- Must be able to wear the required Personal Protective Equipment (PPE) as deemed necessary by current company and site Health and Safety procedures
