**Job Description**:
As our team in the UK expands, we have identified the need for an enthusiastic and flexible PA & Team Assistant to join our busy Operations team. Based at our UK facility near Cambridge, you will enjoy a varied, people-facing role covering a whole range of PA & Team Assistant support within the Clinical, Legal and Quality teams. and other ad hoc functions can be expected from time to time.
**KEY RESPONSIBILITIES**
**Personal Assistant & Team Assistant duties**:

- Delivery of high-level PA and assistant support to Executive & Senior Management. CMO & General Counsel cover.
- Comprehensive diary oversight and management.
- Coordination and organization of complex clinical and legal meetings and events, including registration and meeting coordination.
- Coordinate national and international travel for our executive and leadership staff, including accommodation bookings and expense reporting, providing additional support on travel arrangements for their teams as and when required.

**Legal Support**:

- Administrative support to the Legal team, including the following:

- Routing IP and legal documentation for signature and filing.
- Maintenance of IP document management.
- Maintenance of Contract document tracker.

**Operational Support**:

- To be the first point of contact for staff support and enquiries, including the following:

- Provide support and cover to the Office Manager and Team Assistants as required and during times of absence.
- Contribute to general office support/business projects as needed.
- Provide support that makes Bicycle a great place to work.
- Foster connections among colleagues.

**Reception & Housekeeping Support**:

- Welcoming visitors and vendors.
- Provide refreshments for visitors and arrange taxis as required.
- Ensure the proper operation of the visitor and staff booking in and out system.
- Take incoming phone calls and route as needed.
- Deal with incoming and outgoing post and courier requirements (in conjunction with the Laboratory support team).
- Organise catering for meetings and staff lunches, and assist with serving up and clearing away as needed.
- Assist with organization of Company social events and celebrations, as well as large meetings.
- Foster connections among colleagues.

**Qualifications**:

- Highly competent user of Microsoft Office (Outlook, Word, Excel, and PowerPoint).
- Previous experience of working in an PA and Assistant support role, organising travel and setting up meetings.
- A proactive ‘can-do’ attitude, flexible and able to juggle a varied workload.
- A professional, positive, confident and supportive approach, able to build strong relationships.
- Organised, with a high level of accuracy and attention to detail.
- Strong verbal and written communication skills - can communicate effectively.
