An exciting HR Coordinator opportunity has arisen in the HR team of Smile Together Dental CIC, starting immediately.

Responsibilities will include (but are not limited to):

- Ensuring a smooth, efficient and people-centric recruitment process
- Overseeing absenteeism and other HR management procedures within the organisation
- Performing HR processes to a consistent standard that comply with current legislation
- Accurately delivering HR and related organisational administrative duties within deadlines, preparing relevant documentation and correspondence

**Job Summary**:
The HR Coordinator will work as an integral member of our HR team reporting directly to the Head of HR. The post holder will perform HR processes to a consistent standard that comply with current legislation and accurately deliver HR and related organisational administrative duties within deadlines, preparing relevant documentation and correspondence.

**Key accountabilities**:

- Performing HR and related organisational administrative duties, preparing relevant documentation and correspondence, keeping to deadlines and maintaining a high level of accuracy
- Liaising with internal and external stakeholders
- Keeping and maintaining records through physical and electronic filing
- Maintaining and developing your clinical competency and continuing professional/personal development according to agreed training needs via our Smile Together Training Academy and Perform (appraisal and review system)
- Working alongside clinical and professional support colleagues in facilitating ongoing organisational change and development
- Working at CIPD Level 3, preferably with the associated qualification
- Able to work independently and travel across the county as required
- On occasions you may be required to visit and work from other locations where you would need to integrate as part of the local team
- Playing a valuable part in contributing to the success of our organisation
- Being an ambassador for the company’s vision, mission and values and demonstrate related behaviours
- Professionally representing Smile Together as an ambassador for the company in this role, leading by example

**Recruitment**:
Carry out the recruitment process for Smile Together, which includes the following activities:

- Liaising with recruiting managers to plan their required recruitment
- Advertising vacancies through the most effective portals, liaising closely with the marketing team
- Liaising with recruitment agencies, where appropriate
- Arranging dates for shortlisting and ensure satisfactory completion by the recruiting manager
- Liaising with the interviewing panel and booking interviews/assessment centres in diaries
- Producing interview questions, schedules, documentation and packs, and ensuring virtual/physical interview rooms/facilities are fully prepared/functional
- Where required, arranging test exercises and administering accordingly
- Ensuring DBS, Occupational Health clearances and references are correctly received
- Ensuring all clearance paperwork is signed off by the appropriate line manager
- Updating the recruitment spreadsheet and reporting as required
- Filing all information in line with GDPR principles

**Absence Management**:
Carrying out processes, which includes the following activities:

- Monitoring sickness and other absence on our electronic system as reported by line managers
- Scanning all fit notes and any other relevant documentation and filing in employee Personnel (P) files
- Ensuring absence paperwork is returned and filed in employee P-files
- Monitoring fit note dates and informing line managers of end dates
- Ensuring line managers schedule absence review meetings with their employees and ensuring paperwork is returned and filed in employee P-files
