**Job Title: Administration assistant**

**Salary: £22,000 (gross per annum, *Please note the salary of £22,000 is full time equivalent, and the will be pro rata based on hours and therefore be based between £9,600 and £13,200)**

**Hours: Monday to Friday part time minimum of 16hrs**

**Location: Head office, The Core, Newcastle upon Tyne**

**Job summary and purpose**
- To provide administrative support carrying out a variety of duties
- Manage your time effectively and liaise with your line manager on priorities - managing your own workload planner
- Assist the HR Manager in all areas of HR Administration
- Work with the wider team in the delivery of administration tasks as required.
- Experience of working in an office environment administration based role
- Computer literate in MS Office packages including word, PowerPoint and Excel.
- Level 2 Diploma in Business Administration or Equivalent
- Effective written and verbal communication skills.
- Time management and ability to prioritise own workload to ensure competing demands are met at all times.
- Accurate keyboard / word processing skills with ability of ensuring attention to detail.
- Highly motivated and a ‘can do’ attitude
- Be able to work as part of a team and independently, when necessary
- Use their own initiative
- Prioritise workload as necessary
- Strong organisational skills
- Understands confidentiality

**Key responsibilities**

**Duties will be varied and may include the following**:
**HR Duties**
- Assist HR Manager with all HR administration and communication for the team
- To support on all administration aspects of the recruitment and selection process which includes placing adverts, arranging interviews and other associated administration.
- In conjunction with HR manager, prepare offer letters, contracts of employment and all pre-employment checks for new starters
- Maintain and save relevant files in accordance with HR processes and procedures
- To attend meetings where required to note take
- Be able to liaise with the team and staff
- Use software to update employee information, ensuring this accurate at all times.
- To scan and photocopy documents when necessary
- Assist the HR Manager and line managers in organising staff training. Coordinating the annual training plan and assist with sourcing training provider
- Carry out data cleansing for GDPR and ensure compliance

**General Duties**
- Organisation and support with the administration of internal and client projects as required
- Providing general administration-based support for the team, which will include processing a range of electronic documents such as letters, electronic filing and photocopying.
- Setting up rooms for staff and client meetings ensuring these are presentable at all times
- The completion of other ad-hoc duties such as receiving and distributing mail, collection of parcels.
- Assist with hospitality of on site visitors
- To undertake any other general office administration duties as necessary
- Support with fieldwork preparation
- Support Insight Hub administration
- Supporting Commercial Director & Partner in the administration of new business project
- Acting at all times in the best interests of the company
