The purpose of this role is to provide competent, efficient and effective administrative support to the Sustainability & Innovation Team, plus three senior members of the Finance team. Reporting into the S&I Team, the role will be notionally split three days for S&I and two days for Finance.

Key responsibilities
- To provide high quality administrative PA support to the Sustainability & Innovation Team (covering nine staff focussed on Innovation, Alternative Investment, Social Impact and Environmental Sustainability).
- To provide full diary management to three senior members of the Finance Team (FD for Development & Investment, FD for London Estate & Operations, and Director of Research).
- For both teams, proactive and accurate diary management is a core requirement of the role, organising meetings, call and video conferences. This will include the ability to manage meetings often involving multiple participants of across all levels of the organisation and externally.
- Broader tasks will include:

- Assisting with generating and overseeing purchase orders, invoices and supplier set ups for the team on the Voyager system.
- Submitting expenses on the Concur system.
- Coordinating domestic and international travel arrangements, as necessary.

For the S&I team only:

- Creating presentations using PowerPoint and papers using MS Word and Excel for internal and external audiences.
- Assisting with proofing and formatting of documents/presentations.
- Ensuring documents are saved as per policies, procedures and systems (e.g. Quickstart).
- Coordinating and supporting special projects and team/external events as required (e.g. team dinners, offsites).
- Using and updating the S&I key contacts on Salesforce.
- Coordinating domestic and international travel arrangements, as necessary.
- Providing temporary cover for other Team PA’s, as necessary.

To achieve this, it will be necessary to:

- Work closely with the Executive Assistant for S&I and build close working relationships with other team EA/PA’s.
- Communicate highly effectively across both teams to ensure a shared understanding of work patterns, priorities, and commitments.

Key requirements
- Proven experience as a team PA and an ability to work independently/use own initiative.
- High level of computer literacy with a willingness to participate in training to further skills. Advanced skills in PowerPoint, Word and Excel. Able to access data in core systems. Able to adapt to existing company IT infrastructure, software and processes.
- Teamwork - working collaboratively with others, adopting a practical and pragmatic approach to getting things done. Recognises importance of keeping teams up to date with progress of actions and acts accordingly.
- Positive attitude - confident and willing to take initiative. Enthusiastic and with excellent organisational skills.
- Flexible and able to effectively prioritise activities that create greatest value and managing time, cost and resources effectively.
- Good communication skills, both written and oral with high levels of attention to detail.
- An interest in accepting new ideas and supporting change; driving and communicating changes to enhance the performance of the team and wider business.
