**About the Role**

We’re currently recruiting for an experienced Business Manager to join our enthusiastic and committed staff team.

This is a great opportunity to be part of a thriving village business and be involved in the administration and running of a charity and company registered early years setting.

**Purpose of Role**

The overall purpose of the role is to provide a high level of confidential support to the pre-school committee and pre-school manager. This will encompass the following:

- Be a member of the pre-school staff team and contribute significantly to the high level of service it offers on a day to day basis.
- As directed by the pre-school committee and manager, take an active role in the development and implementation of any long term strategic projects.
- Ensure that all support services and systems within pre-school meet current legislation and our own policies and work efficiently and effectively on a day to day basis.
- Attend staff, committee and any other meetings as required (generally these will be during pre-school hours although the committee meeting is usually an evening per half term).
- Act as an ambassador for the Pre-School at all times and be involved as required at pre-school events eg: fundraising activities.

- To provide support as required to both the incoming and outgoing committees after each AGM, to ensure a smooth transition and to assist in ensuring that all relevant bodies (eg: Ofsted, Charities Commission, Companies House, Bank) are notified of changes.
- To provide support as required to the committee and to work in close contact with the Chair, Secretary and Treasurer.
- Ensure accurate financial records of income and expenditure are kept and the yearly accounts spreadsheet is kept up to date.
- Manage fee invoicing and payments for the setting on at least a half-termly basis. This will include assisting the manager with the collation for submission of the Early Years funding claim to Devon County Council.
- Assist the Manager to review the funding provided from the Local Authority to ensure that pre-school receives all funding to which it is entitled eg: EYPP, DAF.
- Ensure that invoices and staff expense claims are approved and paid in accordance with the relevant policies and paid in a timely manner.
- Agree the yearly rental payment schedule with the village hall and amend were needed in agreement with their Treasurer.
- Assist the committee with forecasting, updating information where relevant and compiling the spreadsheet for discussion ahead of committee meetings.
- Check/Chase deposits for new starters
- Review and amend policies to ensure they are kept up to date on at least a yearly basis in conjunction with the pre-school manager.
- Ensure that all regulatory & compliance registrations and memberships are updated with change of details and renewed as necessary eg: Ofsted Registration, ICO, Charity Commission.
- Ensure that pre-school remains compliant with all GDPR requirements.

- Assist with recruitment; placing job adverts and arranging interviews and dealing with other HR tasks as necessary including obtaining DBS checks and issuing job contract paperwork.
- Ensure that the pay/conditions for all staff meet statutory requirements and ensure compliance with all legislative requirements relating to human resources.
- Maintain the staff wage spreadsheet based on the staff rota and overtime completed and ensure staff are paid on a monthly basis.
- Process all wage payments via Sage and submit pension information via NEST and complete all required actions.
- Ensure the pre-school website and facebook page is accurate, appropriate and up to date.
- Assist in the writing and production of pre-school documents such as new starter booklets, prospectus and registration forms.

**Hours of Work**

The role is for 8 hours a week during term time. Additional time will be needed over school holidays and very occasionally during busy times of year to ensure the staff pay is completed and accounts are up to date but this will be limited.

Hours can be completed at any point during the week however all work must be completed in accordance with deadlines and the preference is for the majority of hours to be completed during pre-school hours.

Note attendance at a half termly committee meeting may be required. These currently take place during the evening.

Work will primarily be completed at West Hill Pre-School in the Pre-School Office. A laptop will be provided.

Dependent on experience but exceeds NMW.
