Responding appropriately and efficiently to all internal and external mail from all disciplines.18. Responsibility for maintaining departmental stationary supplies and office equipment and ordering where required adhering to budgetary confines and following local departmental processes.19. Ensuring stock of patient information leaflets is maintained and numbers controlled by recording all relevant information in a departmental excel spreadsheet log ordering additional supplies where required.20. Working additional hours as and when required to meet the demands of the service or when colleagues are absent through annual leave/sickness.

SECTION 2- COMMUNICATION1. Communicating effectively and sympathetically with patients verbally and in writing using tact, diplomacy and discretion2.

To comply with the Trusts Confidentiality Policy at all times and to comply with the Data Protection Act SECTION 3 - RESPONSIBILITY FOR INFORMATION RESOURCES1. Responsibility for ensuring all data items are entered into the relevant system.2. Responsible for ensuring all referral forms are updated to EMIS and forms stored securely following trust guidelines3.

Ensure all data/information is stored and transmitted in a format, which adheres to all aspects of the Caldicott guidelines. SECTION 4- TRAINING1. Undertake to attend relevant training courses (internal and external) and to participate in the Personal Development Process (PDP);2. Take responsibility for continuing own development in accordance with an agreed Personal Development Plan;3.

Attend all mandatory training and update sessions including Manual Handling and Fire lecture.4. Assist in the development, supervision and training for new starters within specialty. Delegation of tasks and support in the management of workload for new administrative and clerical staff SECTION 5- EFFORT AND ENVIRONMENT1. Comply with Trust policy and management instructions with regard to Health & Safety and Fire prevention and in particular to avoid any practices that could potentially endanger yourself or others.3. Required to implement and adhere to all Booking, Scheduling and Administration procedures, policies and protocols.Freedom to ActWithin this role there is the need to work within clearly defined occupational policies including but not limited to our patient access policy. You will have the ability to work both independently as well as within a team. Work will be managed rather than supervised.Physical EffortWithin this role there may be light physical effort required including lifting and moving of patient notes using a trolley if required.

The post-holder will also be required to frequently sit in a restricted position at a computer using a keyboard and phone for sustained periods of time entering patient information and answering telephone queries and team meetings on teams. The role will also require standing and walking and the ability to be mobile to attend meetings the operational team and other clinical teams. There will be occasional moderate effort needed for several short periods.Mental EffortThis role requires the frequent need for concentration in administrative duties including analysing waiting list information with frequent interruptions from patients, therapy staff and external agencies. There is a need to respond to various enquiries from clinical, managerial, and admin & clerical staff whilst trying to meet specific deadlines.

An unpredictable work pattern may be in place due to changing waiting lists and priorities.Emotional EffortFrequent occurrences of dealing with sometimes anxious, distressed, or angry parents (or relatives) waiting for therapy treatment.
