Calibration Administration Assistant

As a Calibration Administration Assistant at Impact Test Equipment, you will play a crucial role in ensuring the efficient and seamless operation of our calibration services. Reporting to the Calibration Manager, you will be responsible for various administrative tasks, customer service, and managing the schedules of field engineers who provide calibration services throughout the UK and Ireland. Your primary focus will be to assist in delivering accurate and timely calibration services to our customers while maintaining compliance with UKAS standards.
**Key Responsibilities**:
**Scheduling**:
- Create and manage the schedules for field engineers conducting calibration services, ensuring timely and efficient allocation of resources.
- Coordinate with customers to schedule calibration appointments, taking into account customer preferences and service requirements.
- Monitor and adjust schedules as needed to accommodate urgent service requests or changes in engineer availability.
**Customer Service**:
- Serve as a point of contact for customers, addressing their inquiries, providing information on services, and handling any issues or concerns.
- Maintain a high level of customer satisfaction by ensuring clear communication and timely responses.
**Administrative Tasks**:
- Maintain accurate and up-to-date records for customers in accordance with GDPR.
- Assist in the creation of calibration certificates.
- Manage documentation, including service reports, calibration data.
**Quality Assurance**:
- Ensure that all calibration activities and documentation comply with UKAS standards and regulatory requirements.
**Team Collaboration**:
- Collaborate closely with the Calibration Manager and field engineers to optimize scheduling and address any challenges that may arise.
- Assist in streamlining calibration work alongside other departments.
**Qualifications**:
- Strong organizational and multitasking skills.
- Excellent communication skills, both written and verbal.
- Attention to detail and accuracy in documentation.
- Knowledge of calibration principles and UKAS accreditation standards is a plus but not mandatory.
- Customer service experience is preferred.
- Ability to work effectively in a fast-paced, dynamic environment.
**Working Conditions**:
- This is an office-based position.
- Monday - Friday.
- Part time hours, flexibility available with the potential for full time contract.
- Entry to company bonus scheme on completing probation.
- Free Parking.
**Job Types**: Part-time, Permanent
**Salary**: £9,700.00-£14,000.00 per year
