Job Overview

You will be responsible for all day to day facility and property management matters, working directly with Mitie's Lead and Operations Team.

To provide the smooth running of the Reception area attending to visitors and dealing with enquiries.

Our aim is to surpass expectation within all our given disciplines.

Main Duties

To manage a range of building and general support services, to plan and programme office rearrangements and to ensure a safe working environment within the area of responsibility.

Manage building and general services maintenance and provide regular feedback on current work to the Operations Manager.

Building management for Mitie Techincal Services and subsequent visitors.

Plan office rearrangements in conjunction with the appropriate management.

Work as part of the Lead and Operations Teams in providing a administration tasks.

Comply with all current Health, Safety and Environmental regulations and report any breaches via the appropriate reporting routes.

Provide and maintain office furniture as required and keep Operations Manager informed of requirements for new items.

Enforce a clear desk policy which will be vital for ensuring desk spaces are used to their maximum potential and for security reasons.

Act as first point of contact, greet visitors and provide a professional reception service to residents and all people visiting the building.

Provide helpful advice, guidance and information to visitors and residents and if not able to do so direct them to other members of staff who can assist.

Monitor and maintain conference room bookings.

Inform building residents of any post, parcels and or deliveries available to collect from reception.

Monitor and maintain office stationary equipment.

Monitor visitor access and identification checks to maintain security awareness.

Comply with all Health and Safety policies and procedures.

To attend and fully participate in training and appraisal activities as required.

To undertake additional duties in line with capabilities as required.

Managing strict vehicle maintenance and servicing schedules to minimise downtime. Monitoring Driver behaviour. Maintaining accurate and detailed records of vehicle inspections and services. Monitoring fleet costs and ensuring that they remain within budget.

Must have an excellent knowledge of Word, Excel and E-mail.

Confident, dedicated and diplomatic.

Professional appearance and outlook at all times.

Able to work under pressure to strict deadlines.

Experience of Multi-tasking / adaptability.

Must ensure Mitie confidentiality policy is adhered to / able to manage confidential or sensitive issues.

Level 2 Word Processing Qualification advantageous.

Holds relevant professional qualifications / certificates (i.e. Microsoft or equivalent) or has relevant administrative experience.

First class communication skills.

Committed and reliable.

Takes ownership - able to work without constant direction

Demonstrates knowledge of DSE requirements and understands safe manual handling.

Able to understand and act on both verbal and written instructions / procedures.

Ability to interrogate and recover information from database systems, analyse and produce informative reports.

Experience of Multi - tasking / adaptability.

Enthusiastic personality.

Customer service background desirable.
