As an Invoice Administrator at Jaqueline’s Gems Childcare Services ltd you will work in a company’s accounting department, handling incoming and outgoing invoices. Your main duties include creating invoices for clients, ensuring all invoices are accurate, and resolving billing errors.

**What we expect an Invoice Administrator to do?**

As an Invoice Administrator it will be your responsible for creating and sending out accurate invoices to our clients. You will ensure funds are received with the agreed-upon amount within the correct time frame. Further to this you will follow up on outstanding payments. You will keep detailed, up-to-date payment records. If any client notice billing errors, it is the Invoice Administrator’s responsibility to resolve them. You will also be expected to record incoming invoices whilst ensuring prompt payment on behalf of the company CEO.

**Invoice Administrator duties and responsibilities**

Your main responsibility is to create accurate invoices, send them out, and ensure the company receives payment in a timely manner. Additionally, you will have other duties and responsibilities including:

- Calculate additional charges, such as late fees, to include in invoices
- Ensure every invoice sent out is accurate
- Resolve billing errors that other staff or customer’s flag
- Keep a record of collected payments with customer information
- Work with other members of the office staff, such as admin manager.
- Perform any necessary administrative duties, such as auditing.
- Prepare account statements for customers
- Follow up on outstanding payments

**Skills and qualifications**

You must be able to guarantee accuracy when preparing and sending out invoices. You should hold skills and qualifications including:

- Excellent written and verbal communication skills
- Understanding of basic accounting math
- Strong attention to detail to keep accurate accounting entries
- Familiar with accounting software
- Solid organizational skills to keep track of invoices
- Great customer service skills to work with various clients
- Knowledge of data entry for record keeping

**Experience requirements**

No Invoice Administration prior experience is necessary as full training and support will be offered. However, some experience in a similar role or office environment can be beneficial. Being good with numbers is essential.

**Education and training requirements**

You should have at least a Standard pass, Grade C (4) or above in GCSE Mathematics and English. With an appetite and willingness to learn. On-the-job training will be provided to teach company-specific processes and software programs used. You should also be prepared to undergo regular training to remain up to date on accounting policies and procedures.

**Salary**: £22,000.00-£27,000.00 per year
