**Legal Secretary - Family & Litigation**£28-33,000**New Malden**
- To assist the head of department with administrative tasks in relation to both case matters and the department as a whole.
- To receive telephone calls from clients, counsels, witness etc.
- To arrange appointments and ensure these are placed on the fee earner’s outlook diary.
- To prepare Client / Matter Inception Forms as required.
- Audio typing and copy typing as required.
- To Process documentation to a high standard and within agreed deadlines;
- To organise conferences with client, Fee Earners, and counsel.
- To arrange the attendance of expert witness and court clerks at hearings.
- To liaise as necessary with court and counsel’s clerk in relation to hearing dates.
- To draft Brief to counsel as instructed and organising enclosure.
- To prepare court forms (e.g., Summons, Claims, Children Act forms).
- To prepare trial bundles for court.
- To prepare draft petitions as directed.
- To ensure that all time recording is entered each day.
- To prepare invoices for profit costs as required.
- To keep a copy of all invoices raised.
- To hand all cheques to The Accounts Department the same day that they are received.
- To liaise with the Accounts Department to ensure that invoices and cheque requests are submitted accurately and on time.
- To locate all files for incoming post on a daily basis.
- Typing of Agenda & Minutes of Meetings as required.
- Filing and scanning.
- Arranging for clients to attend, sign documents where indicated.
- In the absence of Head of Department to examine incoming post and to refer any item that appears urgent to the Partners.
- To Enter all “Key Dates” in the diaries.
- To ensure that the case management system is kept up to date.
- To participate in providing reception cover with other staff as requested.
- To check all files upon closure in readiness for archiving.
- To ensure all work both is kept tidy and organised (electronic and paper).
- To ensure complaints are addressed as a matter of urgency. Where this proves to be difficult to observe the requirement to report to Senior Management.
- To Handle confidential or sensitive information in a professional manner;
- To work harmoniously within the department carrying out tasks as requested by head of department.
- Any other reasonable duties as directed by a Partner
- Accountable to the Partners.

**Person Specification**:

- Legal Secretary having experience of working in a Family Department.
- Keyboard and computerised system skills - 45 wpm typing (minimum). Audio typing skills are essential.
- Accurate and quick worker with ability to meet strict deadlines.
- Knowledge of the Firm’s systems and standards and correspondence styles;
- Accuracy is essential with good command of English punctuation, grammar, spelling and composition.
- Client focused, excellent organisational skills, a team player who is assertive, professional and has first class communication skills and a good sense of humour

**Additional Information**:

- New Malden, office based
- £28-33,000 depending on experience
- Workplace Pension company contributes 5% of salary.
